Our growing company is looking for a reliable and organized Administrative Assistant who can manage day-to-day administrative duties to support our field team members. The ideal candidate will have a positive attitude and previous reception/customer service experience. A desire to work as efficiently as possible is needed, as well as the ability to work with little to no supervision.

We are excited to welcome an applicant who enjoys working in a fast-paced office environment, managing multiple tasks at once without becoming overwhelmed.

Responsibilities:

  • Serve as a brand ambassador and provide excellent customer service or support to coworkers and vendor representatives while fulfilling or updating requests
  • Complete requests for supplies, materials, machinery and equipment with current vendors, including tracking items and orders, and cancelling when requested
  • Set up new vendors, with special consideration to national vendors, through personal research; negotiate rates, complete paperwork and other registration steps on behalf of Green Earth
  • Support the travel department (and coordinate with HR if needed) in completing travel, lodging or rental vehicle requests; booking flights or hotel rooms, negotiating rates with hotels, providing credit card authorizations and ensuring employees have fulfilled eligibility standards
  • Maintaining and updating internal vendor and travel logs’ applicable tabs to support office-wide processes

Qualifications:​​​​​​

  • MUST have 2+ years experience in an administrative capacity
  • MUST be proficient with computers, landlines, mobile phones, Microsoft Office (Outlook, Excel) and SharePoint
  • MUST have high attention to details and an ability to notice and correct inconsistencies
  • MUST strive to work in an organized manner while also showcasing an ability to prioritize
  • MUST have a high school diploma
  • MUST have dependable transportation and a valid drivers’ license
  • Experience in a construction environment, or willingness to learn the industry
  • MUST be available to be on call (from home) every other weekend
