A well-established 100% employee owned Construction Company is looking to hire an Administrative Assistant to join their Tampa team. The Administrative Assistant provides clerical and administrative support to a team of construction professionals. Responsibilities include managing schedules, coordinating meetings, maintaining project documentation, preparing reports, handling correspondence, and assisting with procurement and office supply management. The role also supports project coordination and facilitates communication with clients, vendors, and subcontractors.

What You’ll Be Doing

  • Perform general clerical duties, including data entry, mailing, shipping, scanning, photocopying, and typing
  • Maintain and organize electronic files to ensure easy access and retrieval
  • Help orient new employees by facilitating safety video viewings
  • Handle confidential materials and documents with professionalism and discretion
  • Manage schedules, appointments, and calendars for managers, ensuring timely updates and smooth coordination
  • Coordinate travel arrangements for managers, ensuring all details are in place
  • Organize and facilitate meetings, conferences, and events, ensuring smooth execution
  • Provide a warm, professional greeting to visitors
  • Support managers and team members with data tracking and reporting tasks
  • Assist with time entry and resolve payroll-related data issues as needed
  • Provide clerical support for various departmental processes, including:
  • Drafting and typing correspondence
  • Pulling reports, insurance documentation, and preconstruction materials
  • Issuing field checks and tracking fuel cards
  • Coding and processing invoices
  • Assisting with recruitment and onboarding activities
  • Order and manage office supplies, as well as kitchen and restroom supplies for projects
  • Contribute to co-worker recognition efforts by ordering event tickets, sending flowers, and organizing appreciation activities

Who We’re Looking For

  • High School diploma or equivalent, and prior administrative support experience
  • Proficient with Microsoft software programs such as Word, Excel, Outlook, and PowerPoint
  • Strong writing and verbal communication skills, with the ability to draft reports, business correspondence, and procedures
  • Proficient in listening, reading, and comprehending instructions, correspondence, and memos
  • Strong mathematical skills, with the ability to perform basic calculations and apply concepts such as fractions and percentages
  • Excellent customer service skills with a collaborative, team-oriented approach
  • Strong listening skills and the ability to prioritize tasks and stay organized
  • Ability to maintain confidentiality and handle sensitive information discreetly
  • Problem-solving ability, with the capacity to manage diverse situations that require adaptability
  • Skilled in interpreting written, oral, and visual instructions and schedules
  • Ability to analyze problems, gather information, and draw valid conclusions
  • Capable of developing organizational tools to improve processes and efficiency

What You Can Expect

  • $20.00 – $24.00/hr, depending on experience
  • Schedule of Monday – Friday, 7:30am – 4:00pm
