POSITION: Entertainment Coordinator
STATUS: Full-Time/Non–Exempt
DEPARTMENT: Programming
REPORTS TO: Entertainment Director
POSITION CONCEPT: Provide administrative support to the Executive VP of Entertainment and Entertainment Director (ED) in the preparation and review of contracts and budgets, information circulation, and results reporting as they relate to the various events for Ruth Eckerd Hall, the Bilheimer Capitol Theatre, The BayCare Sound, and various offsite opportunities.
ESSENTIAL DUTIES:
- In coordination with the Executive VP of Entertainment and ED, maintain programming budgets as well as manage show budget information and distribute information to appropriate staff members.
- Assist Executive VP of Entertainment and ED in acquiring, reviewing, & amending show-related documents from agents and their assistants, including artist contracts, riders, deal point letters, deal memos, etc.
- Using source documents, update important documents pertaining to event history in a format readily available for appropriate staff and industry requests on a weekly basis.
- Work in conjunction with the Executive VP of Entertainment & ED to implement the “ticket flexing” guidelines.
- Obtain and maintain insurance certificates as required per show contracts.
- Program and coordinate special pre-show activities that enhance the patron experience, such as live local music.
- Report event information and results to industry trade publications on a regular basis.
- Provide input to marketing staff for purposes of maximizing Ruth Eckerd Hall’s visibility, presence, sponsorships, and promotions.
- Participate in show coverage on an as-needed basis. This could potentially involve night and weekend events. Act as a promoter representative as needed, including but not limited to finalizing settlements with artists.
- Professionally represent Ruth Eckerd Hall at all times.
- Complete all other duties as assigned.
QUALIFICATIONS:
Education:
- Two-year college degree or equivalent experience required.
Experiences:
- Two to five years’ experience in entertainment / event booking industry.
Demonstrated Skills or Knowledge:
- Excellent knowledge of the local entertainment industry as well as an understanding of the various genres presented in performing arts centers, festivals, and other venues.
- Ability to check for details and to organize simultaneous tasks for efficiency.
- Ability to relate to a diverse group of people, including staff, board members, artists, agents, production managers, and technicians.
- Proficiency in Microsoft Office & Adobe Acrobat programs.
- Tessitura experience preferred.
Physical Demands:
- Ability to lift and carry up to 25 lbs.
- Ability to maintain good attendance is a condition of employment and a function of this position.
- Ability to work irregular hours on a regular basis.
- Ability to work outdoors and in various climates.
Other:
- Valid driver’s license and safe driving record.
- Successful completion of background check and drug screen.
