Administrative assistant for Executive Managing Director of a small growing firm in Lutz. (Real estate experience a plus).

Over all the Admin Assistant will: Launch the marketing on new listings, work on under contractproperties and sold transaction paperwork for inhouse system. Manage the collection and dissemination of materials relating to the due diligence process in addition to handling calls, confidentiality agreements, website updating of properties, marketing and branding and all office type related tasks. You will be interacting with clients and closing agents.

  • Marketing: Collecting data from property owners, preparing marketing sections of high-end offering memorandums. Creating high quality marketing summary brochures and create/manage electronic marketing campaigns via Constant Contact. Press Releases.
  • Business Development: Assist in creating proposals, presentations and other marketing collateral for golf and marina investment properties.
  • Public Relations: Coordinate creation and distribution of semi-annual Golf & Marina Properties Investment Report, prepare and distribute group press releases, prepare/update specialty group marketing collaterals and team track record.
  • Database Management: Maintain contact manager/property database, monitor and track sold properties on-market and nationally. (RealNex)
  • Administrative Support: Provide administrative support to Executive Managing Director including preparing and disseminating team and client correspondence, communications and reports, preparing travel arrangements and scheduling meetings, WebEx conference calls, managing team calendars, maintain team electronic files via Dropbox, tracking business expenses related to Managing Director’s LLC, team and property specific reimbursable expenses.
  • Website management-Wordpress
  • Social media (Linked In and FB) management
  • Create monthly Seller Feedback Letters for Executive Managing Director’s listings
  • Design Golf and Marina newsletters via Publisher
  • Submit payroll every two weeks to accountant, track staff PTO
  • Track agents’ commissions (Mgmt/Agent Commissions & Lifetime Earnings)
  • Event coordination, maintain Monthly Free Lunch Tuesdays
  • Weekly updates of LIPG pipeline (Excel spreadsheet)-taking notes at Monday morning meetings and updating afterwards
  • Outlook calendar management (Team, yours)
  • Prepare bound presentations, Offering Memorandums, Team & Track records, as needed
  • Assist in the preparation of Powerpoint presentations from time to time
  • Schedule property tours with General Manager’s or appropriate person-place all tours on Team calendar

Job Types: Part-time- possible full time

Salary: $19.00 – $22.00 per hour

Schedule:
