Job Summary

Raymond James is looking for a corporate Executive Assistant with specialized knowledge and skills obtained through experience and/or specialized training to provide advanced, diversified and confidential administrative support to multiple assigned executives at the senior vice president or equivalent level with responsibility for a major organizational function.   

Guidance is provided to perform varied work that is somewhat difficult in nature requiring evaluation, originality and ingenuity to make moderately complex decisions. Resolves or recommends solutions to complex problems. Extensive contact with internal and external customers is required to identify, research, and resolve problems.  

Responsible for answering the executive team phones, preparing correspondence, processing expense reports, reconciling Corp Amex expense accounts and processing invoices.  Schedules and coordinates meetings, events, interviews, appointments and similar activities which may include travel and lodging arrangements. Manages calendar via Microsoft Outlook.  Prepares and assists in reports when requested by performing information gathering.  Organizes manages and tracks multiple detailed tasks and assignments with frequently changing priorities in a fast-paced work environment.  
Additional responsibilities include the oversight of the new hoteling floor space on a pilot program.

Strong scheduling / coordination skills and comfortability with last-minute changes/requests.

Extremely proactive and able to take initiative and work efficiently with little direction
Demonstrate discretion, confidentiality, a professional manner, and high-level interpersonal skill.
Possess the ability to handle time-sensitive information and stressful situations.
Experience providing support to multiple individuals, locally and remotely with the ability to balance and maintain workload.
Ability to manage and route high priority calls to appropriate individuals, exercising good judgment.
Experience with expense reporting systems and travel systems
Ability to anticipate the needs of manager and complete tasks with strong attention to detail.
Advance knowledge of MS Office applications (in particular Outlook), Visio, and experience with an expense report system & travel system.
Working knowledge of iOffice application for hoteling is a plus.
Work independently as well as collaboratively within a team environment.

Educational/Previous Experience Requirements:
• High School diploma or Associates Degree with (10) ten-years of experience providing administrative support to senior level management in a major function within a large financial planning, technology organization, service industry organization.
• Or an equivalent combination of education, training or experience.
