Granite Communications and Security, LLC is looking for an Office Manager/Bookkeeper to join our team.

Granite Communications and Security is a fast-paced company in Lutz, FL seeking an organized Office Manager/Bookkeeper that is an excellent multi-tasker to support a variety of office activities.

The Office Manager/Bookkeeper will be a critical part of the team that keeps our office running smoothly across a diverse set of tasks. We are looking for a proactive and detail-oriented candidate who desires to grow and contribute to a rapidly growing business.

The ideal candidate exemplifies exceptional organization and multi-tasking abilities to help juggle the variety of demands that flow through the office from all parties.

Responsibilities & Duties

  • QuickBooks: data entry, daily transactions, A/P and A/R, vendor record maintenance
  • Draft invoices and collect / track payments
  • On-boarding, off-boarding, and paperwork for employees; support recruiting efforts
  • Serving as a point of contact for external parties such as the suppliers and contractors, customers
  • Assist with inventory and ordering supplies
  • Scheduling and administrative support
  • Offer our clients a true “white-glove” support experience and exceed their expectations
  • Answer and direct phone calls
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain online filing system
  • Maintain contacts in CRM
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Assists as directed by management
  • Other duties as assigned

Knowledge, Skills & Personal Qualities

  • QuickBooks or other accounting experience
  • Attention to detail and ability to multi-task is a must
  • Ability to handle confidential information
  • Professional and polished demeanor
  • Excellent communication and interpersonal skills
  • Demonstrate excellence in customer service
  • Ability to diagnose and resolve issues balancing research, troubleshooting, and standard procedures
  • Working knowledge of computer systems, including hardware, software, OS, and peripherals
  • Demonstrated ability to work in a fast-paced environment
  • Time management, organization, and communication are vital

Required Qualifications

  • 2+ years QuickBooks experience
  • A high school diploma or equivalent required
  • Exceptional written and verbal communication skills
  • Ability and desire to learn and adapt quickly
  • Exceptional customer service skills
  • Attention to detail

Preferred Qualifications

  • Associate’s degree or above desired
  • 2+ years experience as an Office Manager preferred
  • Experience working in construction or trades
  • Working knowledge of project management software
