This Job:

Reporting directly to an Executive at American Integrity, the Personal Assistant will serve as the primary point of contact for internal and external constituencies on all personal matters related to the Executive. This person will be working very closely to support the Executive and his family in the management and maintenance of multiple properties. In addition, the Personal Assistant will be responsible for facilitating appointments, reservations and various activities for the Executive and family.

The Personal Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a professional mannerism in dealing with a variety of situations, possess strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Personal Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

What You’ll Do:

  • Will Report to the Tampa Office Monday – Friday, with ability to be On Call and travel when needed.
  • Assist in managing the calendar of the Executive, coordinating with social and family obligations.
  • Coordinate domestic and international travel arrangements.
  • Compose and prepare correspondence that is sometimes confidential.
  • Works closely and effectively with the Executive to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Liaise with Executive’s external contacts when needed to coordinate after-hours schedule.
  • Monitor incoming mail and email to segment personal tasks needing attention.
  • Coordinate speaking engagements, association meetings, and philanthropy efforts.
  • Ensure that projects are executed in an efficient, cost-effective, and diligent manner.
  • Create executive summaries and briefs for the Executive on specific issues and projects.
  • Demonstrate executive decision-making ability in the presence and absence of the Executive for the benefit of the projects and activities.
  • Performs broad range of activity of highly confidential nature, requiring initiative and judgment to make independent decisions.
  • Other duties as assigned.

What You’ll Need to be a Top Candidate:

  • Bachelors degree or equivalent education experience preferred
  • Experience supporting an Executive preferred
  • Will Report to the Tampa Office Monday – Friday, with ability to be On Call and travel when needed
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability and emotional maturity.
  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Maintains professional appearance and demeanor.

Your Environment:

Working Conditions: Normal business office environment. Must be able to remain in a stationary position for periods of time while constantly operating a computer and or other office productivity machinery such as a calculator or telephone. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery or communicate with coworkers. The employee must occasionally lift and / or move up to 10 pounds. Ability to be available after normal work hours for calls and emails.

Travel:This position will require the ability to travel due to management of home and properties when needed. In addition, the personal assistant may need to travel domestically and potentially internationally in support of the Executive and his family.
