Due to continued growth, our Power Delivery group is seeking a Project Management Administrator to join our team workingin our Tampa, FL location.

Responsibilities (including but are not limited to)

  • Accumulate and compile accurate cost data to prepare the project budgets, prepare project Estimate-to-Completes (ETC), Estimate-at-Completion (EAC) and, Key Performance Indicators (KPI)
  • Assist Project Managers in the development of Project Work Plans, Work Breakdown Structures (WBS), WBS dictionary definitions, and Earned Value (EV) methods & techniques
  • Participate in project reviews and schedule update meetings with company or client management
  • Inputs data in various scheduling, cost or EV management tools and generate schedules, labor hour reports, cost reports and EV reports.
  • Prepare reports with critical deadlines, including client reports, internal trend reports, and project schedule compliance reports
  • Examine a variety of recording and reporting documents and summaries to verify accuracy and conformance with specific functional, corporate, contract, government, or professional accounting requirements
  • Maintain the established project costs/schedule program and prepares schedule/cost status reports
  • Reconcile reports and financial data with other records on file. Identifies inconsistencies, deviations from policies, and errors; performs appropriate corrective actions
  • Process contracts/amendments/purchase orders
  • Set up and maintaining projects in the project management and accounting system
  • Distribute hours and people assignments in the project management and accounting system
  • Run reports, analyzing data, identifying potential issues, and proposing solutions to Project Managers
  • Reconcile actual charges to budgets to ensure revenue and financial posting accuracy
  • Coordinate quality assurance project training and client required training
  • Perform uploads of engineering products to client document portal
  • Perform editorial reviews of technical documents.  This review consists of procedural adherence as well as readability reviews.
  • Plan, execute, and finalize projects according to established schedule and within budget.
  • Understand, develop and maintain project management plans, project quality plans, and manage project staff to ensure project requirements are met.
  • Assist in assembling subcontractor bid packages, processing subcontractor contract documents, and receiving and processing subcontractor invoicing
  • Formulate / develop detailed project status reports.
  • Foster and maintain working relations with assigned clients, act as a single point of contact for one or more assigned clients.
  • Manage client interactions and negotiate / control job scope to client and the company’s satisfaction.

Required Qualifications / skills

  • Bachelor’s Degree in Business Administration, Finance, or related industry experience in federal government, contract services, or engineering.
  • Minimum 4 years of business administration, project controls or support role in a technical or consulting environment.
  • Demonstrated business/financial aptitude.
  • Must have the ability to effectively balance conflicting priorities.
  • Excellent organization and time management skills, very detail-oriented, and ability to multi-task. 
  • Strong analytical skills and demonstrated ability to exercise discretion, judgment and always be professional due to the confidential nature of the project work.
  • Ability to comprehend and carry out instructions and follow tasks to completion with minimal direction.
  • Intermediate to Advanced computer skills including Microsoft Excel (including tables/charts/formulas) and Word (including formatting).
  • Excellent communicator with the ability to work and communicate across all levels of an organization.
  • Excellent attention to detail.
  • Ability to travel less than 5% of the time

Employment requirement 

  • Ability to pass a pre-employment and random drug and alcohol screenings, ENERCON and client specific background checks, and annual motor vehicle record (MVR) according to company and client policies.
