Specialized Services Group, a commercial construction, painting and restoration General Contractor, is seeking a PROJECT MANAGER ASSISTANT with experience in commercial construction to join our team!

The Project Manager Assistant will provide support to project management and be flexible in assisting other team members as needed. The Project Manager Assistant will maintain, neat, orderly complete project files and will perform administrative functions concerned with projects. This may include calling contractors, making appointments, ordering supplies, creating submittals, generating reports, take-offs, and other administrative duties.

The position requires an organized individual who is a forward planner, resourceful, innovative, demonstrates integrity, thrives in a fast-paced environment and works with minimal supervision; ensuring work performed is high quality, accurate and cost effective. With the ability to shift with changing priorities.

SCOPE OF RESPONSIBILITY / DUTIES INCLUDE BUT ARE NOT LIMITED TO
* Meet regularly with Project Managers to understand specific needs of each assigned project and determine where assistance is needed. Assistance will include creating and tracking submittals and RFI’s, making copies, reviewing, and sending out meeting minutes, following up with subcontractors or material suppliers to ensure the proper documents are received; and other needs as required.
* Enter and file submittals through Corecon (construction database management application)– following standard operating procedures.
* Assist Project Managers with distribution of bid invitations and construction drawings, design changes and design team responses to requests for information (RFI’s), and phone calls, if needed.
* Assist on bid date, upon immediate request, in preparing and/or reviewing documents, making calls or other needs that could arise.
* Maintain open and frequent communication with Project Managers and Project Coordinators to ensure priorities are set and expectations are clear.
* Work with project team members and maintains complete and accurate records for multiple jobs and working with multiple teams.
* Perform administrative support functions based upon the need.
* Assist Project Managers in following up with subcontractor and material supplier compliance issues and asking for help when needed.
* Establish and maintain effective communication and coordination with all team members, including management, clients, vendors, and subcontractors.
* Proactive planning, effective and consistent communication with clients, the SPECIALIZED Team, subcontractors, vendors, architects, engineers, etc., ensuring clarification of needs and expectations.
* Utilize construction database management application (Corecon, etc.) ensuring submittals are created, implemented, and maintained proficiently and in a timely fashion.

REQUIREMENTS

Education
Required: High school or equivalent
Preferred: Business degree

Experience
Required: Minimum of three years’ experience in construction estimating or Project Administrator environment.
Preferred: Five years preconstruction / construction experience.
~Ability to read and interpret documents such as construction plans & specifications, shop drawings & submittals, safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

~Ability to communicate using the following tools: smartphone, email, computer, tablet, written logs

~Must have a valid driver’s license and maintain a clean driving record

~Must be able to pass a criminal background check

~Must be drug free
