ORGANIZATIONAL SUMMARY: 

USF Tampa’s Department of Housing & Residential Education consists of three units: Operations & Outreach, Facilities & Maintenance, and Budget & Finance. Our team has over 120 fulltime staff members and employs approximately 300 student staff members. Together, along with our partners in Residential Education, we strive to provide a positive residential experience for over 6,400 residents, making Housing & Residential Education The Best Place To Live. Housing & Residential Education operates 60 residential buildings which comprises approximately 1.75 million square feet of residential, dining, recreation, and administrative space. The department is currently finalizing the construction of 2100 new beds in a residential village, complete with dining and recreational facilities and making it Florida’s largest student housing partnership. In addition, Housing & Residential Education hosted the prestigious ACUHO-I’s James C. Grimm National Housing Training Institute (NHTI) in the summers of 2016 – 2018 and was the 2017 ACUHO-I Presidential Service Award recipient.

POSITION SUMMARY: 

The Housing Services Coordinator works closely with staff members in Housing & Residential Education and other campus partners to manage the departments 24-hour desks, currently serving over 6,000 on-campus students. The Housing Services Coordinator will be an integral part of Housing & Residential Education’s expansion of 24-hour desk services as the department opens a new residential village. This position has primary responsibility for key and card management; student staff supervision and on-going training and development; compliance with safety and security protocols; on-call response; and implementation of strategic operational efficiencies. The Housing Services Coordinator will manage 100+ student Desk Clerks and will report to the Housing Services Manager. This position will be responsible for the day shift (8am – 5pm, Monday – Friday) of Housing & Residential Education’s 24-hour desk operations. Hours may vary depending on departmental needs such as Grand Opening, transition days, hall closing, etc. The incumbent will serve in a rotational, on-call role with other Housing Services team members.

RESPONSIBILITIES: 

Oversee the operation of Housing & Residential Education’s 24-hour desks in coordination with other full-time Housing Services staff members.
Process lock changes and assess costs to student accounts.

Develop an understanding of Housing & Residential Education’s systems, including KeyTrak, Residential Management System (RMS)/Mercury, SqBx, SubItUp, and CCURE 9000. Create user trainings and document procedures for students and staff.

Provide troubleshooting support for Housing & Residential Education’s key and ID card management systems.

Assist inquirers (i.e., residents, parents, etc.) with questions and use problem-solving skills to propose solutions and direct inquirers to the appropriate resources.

Participate in all openings, closings, and transition periods, including reserving, setting up/breaking down, and staffing check-in/out locations, preparing keys and card access, and assisting with parent, student, and campus partner questions and concerns.

Assist, as needed, with camps/conferences, guest housing, and overnight orientation check-ins/outs.

Supervising student staff and assisting with recruitment, selection, training, and evaluation of 100+ student employees
Develop and maintain processes and procedures for successful desk operations; communicate these processes and protocols to the appropriate departmental staff, as necessary.

Serve in an on-call capacity to address after-hours inquiries from Housing Services staff and other Housing & Residential Education staff members; participate in an on-call duty rotation with alternating weekend responsibilities.

Audit compliance and management of key and card access protocols, procedures, and systems.

POSITION QUALIFICATIONS:

MINIMUM QUALIFICATIONS: 

This position requires a Bachelor’s degree, with at least one year of experience in student/affairs/student personnel position; or a Master’s degree in Higher Education, College Student Personnel, or Sports Recreation Administration. Work experience may not be substituted for the Bachelor degree requirement for this position.

PREFERRED QUALIFICATIONS: 

The preferred qualifications include a Master’s Degree in Higher Education Administration, MBA, Hospitality, or related field from a regionally accredited university/college and three years of related experience of University Student Housing or Student Affairs experience.
