As our next Client Accounting Manager, you’ll lead a portfolio of clients end-to-end — owning the financials, improving processes, and driving clarity for the business owners you serve.

Role Overview
We’re looking for an experienced accounting professional who thrives on ownership, problem solving, and delivering high-quality work without constant oversight.
This role requires prior experience in a public accounting or outsourced client accounting/advisory (CAAS) firm environment. You must be comfortable managing multiple client relationships at once, understanding each client’s business and financial story in depth, and delivering consistent, high-quality work across all accounts.
This is a client-facing role—you’ll lead meetings, present financials, and serve as a trusted advisor to your clients.
You’ll act as the primary controller and advisor for a portfolio of clients, managing full-cycle accounting, providing financial and strategic insights, and collaborating with our team to improve processes and workflows.
You’ll also support tax preparation (1040, 1120S) and tax planning processes, ensuring accuracy, efficiency, and an exceptional client experience across every touchpoint.
This role is ideal for someone who has:

What Success Looks Like in This Role
1. Act as the controller for your assigned clients.
- Manage full-cycle accounting, including general ledger, adjusting entries, reconciliations, and reporting.
- Own month-end close, year-end depreciation, and financial package preparation.
- Review and quality-check your own work before deliverables go out.
- Identify and correct issues independently and proactively.
- Create and maintain client-specific SOPs and documentation.
2. Serve as a trusted advisor to your clients.
- Lead client meetings, present financials, and provide actionable insights.
- Translate numbers into strategy: explain what happened, why it matters, and what to do next.
- Guide clients on cash flow, margins, and growth planning.
- Collaborate to integrate or improve systems like ServiceTitan, Jobber, or Housecall Pro within accounting workflows.
3. Support the firm’s tax preparation and planning workflows.
- Partner with the Tax Lead on preparation and review of 1120S, 1065, 1040, and 1120 returns.
- Prepare quarterly tax estimates, reasonable compensation studies, and basic projections.
- Record Loom overviews for client review and approval.
- Maintain accurate, tax-ready books and contribute to process improvements across tax workflows.
4. Strengthen firm systems and processes.
- Collaborate with leadership to refine workflows, systems, and SOPs.
- When you find a better way, help fix it and document it.
- Become the subject-matter expert for our CAAS systems, helping the team continuously improve.
Core Responsibilities
- Manage and deliver full-cycle accounting for a portfolio of clients in QuickBooks Online.
- Prepare weekly, monthly, quarterly, and annual reporting packages.
- Handle accrual accounting, job costing, WIP, inventory, and overhead allocations.
- Lead 1099 processing (W-9 collection through filing via Track1099).
- Perform diagnostic reviews and bookkeeping cleanups or catchups as needed.
- Prepare and interpret dashboards, budgets, forecasts, and margin analyses.
- Support clients through benchmarking, scenario modeling, and pricing strategy discussions.
- Ensure every process is documented via Loom videos and housed in ClickUp.
- Maintain accountability for your own KPI tracking and quarterly performance goals.
- Communicate consistently and clearly—internally and with clients—to keep projects moving smoothly.

Education and Credentials
- Bachelor’s degree in Accounting, Finance, or related field (required)
- CPA or EA license preferred but not required
- Advanced QuickBooks Online certification preferred
Experience
- 5+ years of full-cycle accounting experience (bookkeeping, general ledger management, month-end close)
- 3+ years of client-facing experience in a public accounting or outsourced client accounting/advisory (CAAS) firm, managing multiple client accounts simultaneously
- Proven ability to understand each client’s business model, financial patterns, and story, not just complete tasks
- Experience with accrual accounting, job costing, and advanced reporting
- Strong understanding of tax preparation flow (corporate and individual returns)
- Prior experience in service-based industries; HVAC or trades experience is a plus
- Proven ability to create and maintain SOPs, identify process gaps, and implement improvements
Technical Skills
- QuickBooks Online expertise (required)
- Familiarity with Double (Keeper), TaxDome, Reach Reporting, Track1099, and Gusto preferred
- Proficiency in Excel or Google Sheets for modeling and analysis
- Comfort using ClickUp, Loom, and other remote collaboration tools

First 30 Days
- Complete new team member training
- Take over a portfolio of 15–20 bookkeeping clients (primarily mental health and service-based)
- Manage sales tax filing and 1099 processes
- Get comfortable in our systems (QuickBooks Online, Double, TaxDome, ClickUp)
By 60 Days
- Collaborate on building reporting dashboards in Reach Reporting
- Tax preparation for the 2025 filing season (1040, 1120S)
- Prepare Q4 tax estimates and client reports
By 90 Days
- Take ownership of new HVAC client onboarding and bookkeeping cleanups
- Take ownership of HVAC client accounts
- Participate in diagnostic reviews and process improvement initiatives
- Help enhance workflows across accounting and tax functions
