The Mission

You will serve as the Bookkeeper, Accounting Professional to the Controller, and occasional Executive Assistant to the COO, this is a high-energy, mission-critical position that places you at the intersection of leadership, operations, and unrivaled client experience.

We are looking for a polished, high-IQ, highly detailed accounting professional who represents the company with dedication, professionalism, and above all, HEART.

The Non-Negotiables: Your Technical Arsenal

To thrive in this seat, you must possess a specific suite of technical skills. We are looking for a “Force Multiplier” who is as tech-savvy as they are personable.

  • Accounting Assistant: Minimum of 3+ years of experience with Direct Accounting/Bookkeeping Support.
  • Advanced Office Suite Proficiency: Expert-level command of Microsoft 365(Outlook, Word, Excel, and PowerPoint) is mandatory. Must be technology-savvy and able to learn and adapt to new software quickly.
  • Communication: You have excellent written, verbal, and analytical communication skills.
  • Independent: You must be able to work independently or as part of a team when necessary.
  • Sharp Memory: You are deadline-driven, and you remember the details others miss. You anticipate needs three steps ahead and ensure nothing falls through the cracks.
  • The Vault: In this role, you will be privy to sensitive business development, company financials, and industry intelligence. Discretion is paramount. You must be a “vault”—loyal, tight-lipped, and focused on the work, not the watercooler.
  • Extraverted Personality: In this role, you will be speaking to clients, industry colleagues, and more. Having an empathetic personality, sincere care for those we serve, and the ability to be a positive light for those who are often under extreme stress and duress when they come to us or are addressing their accounts is paramount.
  • Academic Pedigree & High IQ: You possess a strong academic background, a 2 to 4 year degree, and the intellectual horsepower to grasp accounting and process management quickly.
  • Law Firm Experience: The ideal candidate would have some law firm experience or knowledge of law firm practice management, but this is not required.

Core Responsibilities

  • Rapid Pivoting: Shift gears instantly as priorities shift, maintaining a calm, effective demeanor. You can switch from managing a “Notice to Owner” filing to financial data entry, to helping with billing. We like organization and try to avoid “Rapid Pivoting,” but occasionally we can be extremely busy as priorities shift.
  • QuickBooks: You should be able to manage data entry and basic accounting tasks within QuickBooks.
  • Software Applications Data Entry: You should also be able to enter data into company software applications. Including preparing and opening files and inputting data into client management software, as well as preparing forms to be sent to clients.
  • Deposits: You should be able to assist the Controller with banking deposits and the preparation of checks.
  • Assist with Accounts Payable to include: Entering payables and sending payments to vendors.
  • Calendaring: You must be proficient in time management, calendaring, and task management.
  • Office Management: Assist the COO with office management tasks as needed.
  • Billing: You should be able to learn billing standards, review bills to ensure they meet them, edit bills that do not meet them, and educate the billing team on bills that are not written in accordance with the standards. You should also be able to address the team’s billing-related questions.
  • New Employee Onboarding: You should be able to assist the COO and Controller with onboarding and training for new team members.
  • Office Maintenance: You should oversee any office maintenance issues and ensure regulatory compliance (e.g., fire sprinklers are up to date).
  • Special Events: You should be able to assist the COO with special events (Birthday celebrations, client meetings, team-building, etc.).
  • Special Projects: You should be able to assist the COO and Controller with special projects that may arise.
