Studio Production & Marketing Coordinator
Position Overview
At URBANcoast, every detail is intentional. We specialize in custom luxury invitations, stationery, and event accessories, creating pieces that serve as the first and lasting impression of life’s most meaningful celebrations.
We are seeking a highly organized, proactive, and detail-driven Studio Production & Marketing Coordinator to support the operational and marketing functions of the studio. This role is responsible for managing production logistics, coordinating with our trusted print and fabrication partners, maintaining project timelines, and supporting client invoicing and administrative workflows.
This position plays a vital role in ensuring each URBANcoast project moves through production seamlessly—upholding the elevated standards, precision, and client experience that define our brand.
Production & Vendor Coordination
- Place and manage client orders through third-party print and production partners.
- Coordinate all production specifications including materials, finishes, embellishments, quantities, and delivery details.
- Track and maintain detailed production schedules.
- Communicate with vendors to ensure timely completion.
- Manage shipping, delivery tracking, and receipt of orders.
- Perform quality control checks.
Project Management & Client Financial Coordination
- Assist in preparing client project estimates.
- Prepare and issue client invoices.
- Track outstanding balances and ensure timely payments.
- Maintain organized project and financial records.
- Support internal workflow systems.
- Shipping and delivery coordination for client projects
Marketing & Brand Development
- Prepare suites for photography and publication.
- Create, schedule and boost social media content.
- Assist with the creation and placement of digital advertising.
- Attend wedding and event shows.
- Build relationships with top wedding professionals in the Tampa Bay DMA.
- Procure professional event photography and client reviews following events.
- Maintain marketing assets and archives.
Studio Environment & Sample Management
- Maintain the studio to reflect the URBANcoast brand.
- Create and maintain the sample library and filing system.
- Refresh displays to showcase current designs.
- Preserve sample archives.
Qualifications
- Exceptional organizational skills.
- Strong attention to detail.
- Professional communication skills.
- Experience with estimating and invoicing preferred.
- Passion for luxury events, weddings, and the creative design process.
- Digital media and social media experience required.

Schedule & Compensation
Fixed weekly hours are flexible and to be mutually agreed upon.
Compensation is based on experience. Bonus and commission structure opportunities available after the first 3 months of employment.
Job Type: Part-time
Pay: $18.00 – $20.00 per hour
Expected hours: 30.0 per week
