Office Administrator / Operations Coordinator

St. Petersburg, FL (In-Office Position)

Position Type: 1099 Independent Contractor
Bonus Opportunities: Additional compensation available for revenue growth (new title files, new mortgage files, new agent recruits, etc.)

Position Overview

Wolfs Crossing is seeking a highly organized, proactive, and detail-oriented Office Administrator to operate from our St. Petersburg office while supporting all Wolfs Crossing divisions and locations.

This is a hands-on operations role. The right candidate must be comfortable handling commission tracking, property management coordination, recruiting support, transaction coordination, mortgage/title administrative tasks, and social media management.

If you are organized, confident on the phone, strong with follow-up, and able to manage multiple moving parts daily — this role offers strong growth potential.

Key ResponsibilitiesOffice & Financial Operations

  • Deposit checks at bank (located in same building)
  • Track and manage all agent commissions in spreadsheets
  • Organize commission disbursements and maintain accurate records
  • Monitor incoming revenue across real estate, mortgage, and title divisions

Property Management Support

  • Handle owner and tenant calls
  • Monitor rent payments and follow up on delinquencies
  • Prepare notices (pay or quit), renewals, and non-renewals
  • Maintain organized lease and communication records
  • Assist in growing the property management division

Real Estate Operations & Compliance

  • Monitor MLS email for new listings and pending transactions
  • Ensure required documents are submitted and compliant
  • Assist agents with document retrieval and file completion
  • Serve as Transaction Coordinator on select office files

Recruiting & Agent Support

  • Assist broker with recruiting outreach calls
  • Schedule and sometimes conduct recruiting meetings
  • Support onboarding and document setup for new agents

Mortgage & Title Support

  • Answer inbound calls
  • Ensure borrower/client data is entered correctly into systems
  • Verify wire information
  • Schedule closings
  • Follow up for outstanding loan documentation
  • Assist with processing support tasks

Marketing & Social Media

  • Help establish and organize company social media accounts
  • Post daily across all platforms
  • Create marketing materials and graphics
  • Canva experience is a plus

Required Qualifications

  • Proven office administration or operations experience
  • Strong organizational and multitasking skills
  • Comfortable tracking financial data in spreadsheets
  • Proficient with:
  • Gmail
  • Microsoft Excel (basic tracking/formulas)
  • Microsoft Word
  • PDF editing
  • Professional phone etiquette
  • Strong follow-up and attention to detail
  • Ability to work independently in a fast-paced environment
  • Ability to maintain confidentiality

Preferred (Not Required)

  • Real estate office experience
  • Transaction coordination experience
  • Property management experience
  • Mortgage or title industry exposure
  • Spanish-speaking ability
  • Canva experience
