Performs independent administrative office support work in finance and billing services.
This position Administrative Support Specialist 1 (Financial Technician) is located at: Safety & Emergency Services Department (Financial Services Division), 12490 Ulmerton Road, Largo, FL 33774
Work Schedule: Monday – Friday; 8:00 a.m. – 5:00 p.m.
MUST PASS AND MAINTAIN A LEVEL 2 CJIS BACKGROUND
What Will You Do
- Receive and screen incoming mail, routes correspondence, and prepare and send outgoing correspondence.
- Process electronic purchase order requisitions, change orders, and cancellation requests.
- Create miscellaneous templates for invoices and ensure accurate coding and compliance.
- Receive and process daily Accounts Receivable checks, including sorting, copying, distributing, and tracking.
- Provide assistance with OPUS iExpense reports, including data entry and employee support (Pcard, Travel, and Misc reports).
- Assist with coordinating conference travel arrangements and preparing travel expense reports.
- Order, monitors and maintain inventory of office supplies, copier paper, and printer toner.
- Serve as liaison for printer and copier maintenance, supplies, and service calls.
- Prepare Food, Beverage, Recruitment, and Awards quarterly reports.
- Generate and distribute monthly Revenue, Budget Expenditure, and Encumbrance reports.
- Assist with coordinating conference travel arrangements and preparing travel expense reports.
- Coordinate with shredding service providers during scheduled bin collection throughout the building.
- Coordinate clerical and administrative activities of several department sections.
- Operate computer and performs data processing functions including using available software packages, report generation, data entry, retrieval, and other specialized and routine computer operations.
- Provide general administrative support to SES Financial Services.
- Perform other related job duties as assigned.
What Do You Need
Experience: Clerical experience preparing, processing, and maintaining administrative records.
- 3+ years of experience as described above; or
- Associates degree in a related field, and 1+ years of experience as described above; or
- Bachelor’s or higher-level degree in a related field and some experience as described above; or
- An equivalent combination of education and experience as described above.
- Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.
Knowledge, Skills and Abilities:
- Knowledge of business English, spelling, punctuation, and arithmetic.
- Knowledge of modern office methods, practices, and procedures.
- Knowledge of laws and rules governing procedures and legal requirements encountered in government office operations.
- Knowledge of laws, rules, regulations, policies, and procedures as applied to highly specialized departmental administrative processes connected with delivery of public services.
- Knowledge of modern recordkeeping practices.
- Knowledge of County functional and structural organization.
- Knowledge of use of word processing equipment.
- Skill in the operation of a typewriter and in taking and transcribing of dictation.
- Skill in making formal oral presentations to staff.
- Ability to work independently on complex and confidential secretarial tasks.
- Ability to keep complex records and assemble and organize data and prepare summaries of reports from such records.
- Ability to apply computer applications and software.
- Ability to compose routine and technical letters and memoranda.
- Ability to make minor decisions in accordance with County ordinances and practice.
- Ability to establish and maintain effective working relationships as necessitated by the work.
Physical/Mental Demands
This is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly. Additionally, the following physical abilities are required:
- Fingering: Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
- Grasping: Applying pressure to an object with the fingers and palm.
- Handling: Picking, holding, or otherwise working, primarily with the whole hand.
- Visual ability: Sufficient to effectively operate office equipment including copier, computer, etc.; and to read and write reports, correspondence, instructions, etc.
- Hearing ability: Sufficient to hold a conversation with other individuals both in person and over a telephone; and to hear recording on transcription device.
- Speaking ability: Sufficient to communicate effectively with other individuals in person and over a telephone.
- Mental acuity: Ability to make rational decisions through sound logic and deductive processes.
- Talking: Expressing or exchanging ideas by means of the spoken word including those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
- Repetitive motion: Substantial movements (motions) of the wrist, hands, and/or fingers.
- Standing: Particularly for sustained periods of time.
- Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
