Mill Pond Estate is a beautiful 18-acre destination Wedding + Event’s Venue located in Seffner, Florida (just minutes outside of Tampa). Our team is growing and we are looking for a versatile and highly-organized junior event coordinator to manage and host our small monthly events and to provide secretarial, administrative and hands-on support for our venue manager and the estate owners.

Job description and Overview:

As the junior event coordinator, you will be in charge of organizing and hosting our popular one-day events: Pilates & Petals and Highland High Tea. You will also be assistanting the venue manager and owners of the Estate with the day to day running of the venue along with any overarching projects, that may arise. This job will require working some nights and weekends, and any events you are assigned. Our typical work week is Thursday – Monday.

Duties/Responsibilities can include: (not all inclusive)

  • Manage and host small monthly events, including ticketing, responding to guest queries, coordinatro with outside vendors, set up and break down on event day.​
  • Assist venue manager leading up to and on wedding days as needed.
  • Assist the venue manager in running venue tours. Provide friendly customized guided tours of the property highlighting key venue features based on clients specific needs and vision for their event. (on site training available).
  • Assist estate owners with ongoing projects, such as the venue shop and other venue improvement projects.
  • Assist with gathering marketing materials such as video and images for the venue’s social media accounts. (On-site equipment and training available).
  • Assist the venue manager in planning marketing events, including open houses, networking events, and styled shoots.
  • Keep track and organize venue décor inventory.
  • Ordering various venue supplies.
  • Occasionally attend networking and training events offsite to promote Mill Pond and connect with other vendors.

Skills/Requirements: ( on-site training will be made available)

  • 2 years of sales experience preferably in a wedding venue/ hospitality environment. Willing to train someone with a combination of relevant experience.
  • Knowledge of Google applications (email, document, and drive), and CRM systems.
  • Knowledgeable of the various social media platforms and comfortable with capturing and posting marketing materials to them.
  • Understanding of event timelines, layouts, and logistics
  • Must be extremely organized and detail oriented.
  • Excellent written and verbal communication.
  • Ability to provide top-tier customer service.
  • Must have a flexible schedule.
  • Can execute tasks in a timely and efficient manner.
  • Ability to remain calm in stressful situations and problem-solve.
  • Ability to lift at least 35 lbs. unassisted
  • Must be comfortable working in a dynamic environment including outside (in all weather conditions) and being around large animals as we do have horses, goats, cows and dogs on the property.
  • Must be available to work weekends. Must be ok with plans changing at the last minute and formulating solutions to issues that may arise, as the event industry can be demanding and unpredictable.

Pay: $18.00 – $22.00 per hour
