Job Description Summary Provides routine administrative support to professionals within the Capital Markets team. This role requires strong organizational judgment, discretion and the ability to manage multiple priorities, with a primary focus on complex travel coordination, expense management, and executive calendar oversight.

Job Description

Responsibilities:

  • Coordinate complex travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries; proactively adjust plans as needed
  • Prepare, review, and submit expense reports in a timely and accurate manner, ensuring compliance with firm policies and resolving discrepancies
  • Manage busy and often shifting calendars for team members; schedule internal and external meetings, prioritize conflicts, and optimize time allocation
  • Coordinate logistics for meetings, including conference rooms, materials, and virtual meeting setup
  • Monitor and maintain office supplies and inventory, ensuring adequate stock levels and coordinating orders to support day-to-day team operations
  • Serve as a point of contact for routine administrative requests, exercising judgment to escalate or resolve issues as appropriate


Skills:

  • Strong organizational and time management skills with the ability to handle competing priorities in a fast-paced environment
  • High attention to detail, particularly in travel logistics and expense processing
  • Proficiency with standard office software (e.g., Outlook, Excel, expense management systems)
  • Effective communication skills, both written and verbal
