Under general supervision, uses knowledge and skills obtained through experience and training to support the Global Wealth Solutions (GWS) Central Office in driving coordination, execution, and alignment across key initiatives and enterprise priorities. This role plays a central part in the planning and execution of GWS-led conferences and events, serving as a primary coordinator across stakeholders, functions, and delivery teams.

Responsibilities span end-to-end event execution, including strategy alignment, planning, logistics, communications, and post-event reporting for GWS-led conferences, as well as coordination of GWS participation in enterprise-wide events. The role partners closely with business leaders, Meetings & Events, Marketing, and Technology teams to deliver high-quality, consistent experiences that align with GWS objectives.

In addition to event leadership, this role supports broader Central Office priorities across strategy, operations, and internal initiatives, including development of materials, tracking of key activities and metrics, and facilitation of stakeholder alignment.

May lead defined workstreams or projects of moderate scope, requiring strong organizational skills, attention to detail, and the ability to manage multiple priorities. Exercises judgment in identifying solutions, resolving issues, and escalating as appropriate. Regular interaction with internal stakeholders and business partners is required to support successful execution of initiatives and programs.

Essential Duties and Responsibilities

GWS-Led Conference & Event Leadership
• Leads end-to-end planning and execution of GWS-led conferences, including stakeholder alignment, objective setting, budgeting, timeline management, and overall project ownership from kickoff through post-event follow-up
• Partners cross-functionally with business leaders, Meetings & Events, Marketing, and Technology teams to develop event strategy, agendas, communications, and overall attendee experience
• Oversees event logistics and execution, including registration management, communications (Save-the-Date, invitations, Know-Before-You-Go), vendor coordination, and on-site support
• Manages partner and sponsorship engagement, including communications, deliverables, booth coordination, and alignment on timelines and expectations
• Leads post-event reporting and continuous improvement efforts, including survey execution, performance metrics, budget reconciliation, and development of insights to inform future events

Enterprise Conferences & Strategic Initiatives
• Leads coordination of GWS participation in enterprise (PCG-led) conferences, including planning, logistics, stakeholder alignment, and execution across internal partners
• Coordinates and supports execution of key GWS Central Office initiatives, ensuring alignment across business lines and consistent delivery of high-quality outcomes
• Partners with stakeholders and subject matter experts to develop positioning materials and ensure consistent messaging across GWS initiatives and conference interactions

* Supports development and alignment of messaging and materials across GWS product areas and initiatives
• Creates and manages materials for conferences, leadership presentations, and enterprise initiatives, ensuring alignment with GWS branding and communication standards

Program Management, Reporting & Operations
• Develops and maintains documentation and tracking tools (e.g., timelines, run-of-show, inventories) to support planning and execution
• Tracks, analyzes, and reports on key metrics and outcomes to support continuous improvement and informed decision-making
• Facilitates “Know Before You Go” sessions to ensure alignment and preparedness of GWS participants
• Ensures effective communication and coordination across business lines and partner teams to drive seamless execution of initiatives
• Supports Central Office operations across strategy, technology, and risk, including awareness of Business Continuity Planning (BCP) and coordination during activation events

Team & Organizational Support
• Participates in and supports internal committees, engagement activities, and team events
• Provides flexible support across GWS business lines as needed, contributing to both strategic initiatives and operational priorities
• Applies organizational policies and procedures and exercises judgment in resolving issues and recommending solutions
• Performs periodic and ad hoc reporting on project status, deliverables, and outcomes
• Maintains current knowledge of GWS initiatives, tools, and processes to support evolving business needs
• Performs other duties and responsibilities as assigned

Knowledge of

• Event strategy, planning, and execution, including logistics, vendor coordination, communications, and on-site delivery
• Project and program management concepts, including planning, documentation, and execution across multiple workstreams
• Data tracking, reporting, and performance metrics to support decision-making and continuous improvement
• GWS business lines, initiatives, and priorities (or ability to quickly develop this knowledge)

Experience, Education, and Certifications

• Associate’s or Bachelor’s degree, relevant certifications, or equivalent combination of education, training, and/or work experience preferred

• Relevant experience in event planning, program or project coordination, business operations, or a related field required
• Demonstrated ability to manage multiple priorities, coordinate complex initiatives, and partner effectively across cross-functional teams
• Experience supporting or leading event execution, including planning, logistics, stakeholder coordination, and on-site delivery, strongly preferred
• Practical experience, demonstrated ownership, and a track record of execution are valued over formal credentials
