Position Summary

We are seeking a highly organized, professional, and detail-oriented Executive Assistant to support the daily operations of a credit repair and consumer dispute business. This position requires strong administrative skills, excellent communication, confidentiality, and the ability to manage client files, dispute workflows, document preparation, deadlines, and follow-up tasks with accuracy.

The Executive Assistant will work closely with ownership and management to help organize client records, prepare dispute materials, track case progress, communicate with clients, and support the overall efficiency of the credit repair process. This role is ideal for someone who is dependable, focused, able to follow structured procedures, and comfortable working with sensitive financial and personal information.

Key Responsibilities

  • Manage and organize client files, credit reports, dispute documents, affidavits, identification documents, mailing records, and case notes.
  • Assist with preparing credit bureau disputes, creditor disputes, method-of-verification requests, affidavits, follow-up letters, and supporting documentation.
  • Track deadlines, dispute rounds, response dates, certified mail records, and next-step action items.
  • Review client documents for completeness, accuracy, missing information, and proper formatting.
  • Maintain organized digital folders and ensure all client materials are stored correctly.
  • Assist in communicating with clients regarding document requests, updates, missing items, signatures, mailing status, and case progress.
  • Help prepare packets for Experian, Equifax, TransUnion, creditors, collection agencies, secondary bureaus, and regulatory complaints when needed.
  • Maintain spreadsheets, trackers, calendars, and internal workflow systems.
  • Draft professional emails, client updates, reminders, and administrative correspondence.
  • Monitor incoming mail, uploaded documents, bureau responses, and creditor replies.
  • Support executive leadership with scheduling, task management, document review, client follow-up, and general administrative support.
  • Handle sensitive personal and financial information with strict confidentiality.
  • Assist with quality control to ensure letters, names, addresses, dates, account numbers, and supporting exhibits are consistent before submission.
  • Help improve office systems, templates, procedures, and workflow efficiency.

Required Qualifications

  • Prior experience as an executive assistant, administrative assistant, office manager, legal assistant, paralegal assistant, client coordinator, or operations assistant preferred.
  • Strong attention to detail and ability to manage multiple files at once.
  • Excellent written and verbal communication skills.
  • Professional phone and email etiquette.
  • Ability to work with confidential personal, financial, and identity-related information.
  • Strong computer skills, including Google Drive, Microsoft Word, PDF tools, email, spreadsheets, and file management systems.
  • Ability to follow procedures, check work carefully, and meet deadlines.
  • Comfortable working in a fast-paced environment with multiple client matters in progress.
  • Dependable, punctual, organized, and self-motivated.

Preferred Qualifications

  • Experience in credit repair, financial services, consumer advocacy, legal document preparation, mortgage, lending, collections, banking, or compliance-related work.
  • Familiarity with credit reports, credit bureaus, consumer disputes, certified mail, client intake, and document tracking.
  • Basic understanding of FCRA-related dispute processes is helpful, but not required.
  • Experience preparing client packets, affidavits, regulatory complaints, or dispute correspondence is a plus.
  • Comfortable using CRM systems, task-management platforms, spreadsheets, and document templates.

This person should be able to keep client files organized, identify missing information, follow up consistently, and help ensure that every document package is professional, complete, and properly tracked.

This role requires someone who takes ownership, communicates clearly, protects client confidentiality, and understands the importance of accuracy when handling consumer financial documents.

Compensation will be based on experience, qualifications, reliability, and ability to manage credit repair administrative workflows effectively.

Because this position involves access to sensitive client information, including credit reports, identification records, financial documents, addresses, account information, and personal data, strict confidentiality is required at all times. Any misuse, unauthorized sharing, or improper handling of client information is grounds for immediate termination.

Pay: $16.85 – $17.50 per hour
