The Short Version
We’re looking for an Executive Assistant who is so organized that your spice rack is alphabetized, your inbox lives at zero, and you’ve never once said “wait, what day is it?” You will be the calm center of a busy executive’s universe — the person who knows where everything is, what happens next, and how to get it done before anyone thought to ask.
What You’ll Actually Do
- Own the calendar like it owes you money. Schedule, reschedule, protect focus time, and gracefully decline the meetings that should have been emails.
- Manage email and correspondence — draft replies, flag what matters, and shield your executive from the 47 newsletters they never signed up for.
- Coordinate travel down to the aisle seat and the backup flight you booked “just in case” (which will absolutely save the day at least twice a year).
- Handle documents and follow-ups — prepare polished letters, track signatures, chase down the thing that person promised three weeks ago.
- Anticipate needs. The best EAs answer questions before they’re asked. You’ll know the printer is out of toner before the printer does.
- Keep confidential things confidential. You’re a vault with excellent penmanship.
You Might Be Our Person If
- You have 5+ years of experience as an Executive Assistant, office manager, or similar “keeper of all the things” role
- Your friends describe you as “scarily organized” and mean it as a compliment
- You’re fluent in Microsoft Office / Google Workspace and can wrangle a spreadsheet without breaking a sweat
- You communicate clearly, warmly, and professionally — with everyone from CEOs to couriers
- You stay unflappable when plans change (because plans will change, usually at 4:55 PM on a Friday)
- You have impeccable judgment, discretion, and follow-through — if you say it’s handled, it’s handled
Bonus Points For
- Experience supporting a small business or family office
- Notary certification, bookkeeping familiarity, or event planning experience
- Familiarity with the South Tampa area — you know the fastest route across town and the best backup lunch spot when the first one has a 40-minute wait
Pay: $65,000.00 – $85,000.00 per year
