About the role:
We are looking for a highly organized, proactive, and client-facing Project Coordinator to join our Implementation Department. In this role, you will be the driving force behind transitioning our healthcare clients onto our platform. You will work closely with new customers to manage their onboarding journey, building structured project plans, tracking milestones, and ensuring a seamless transition
Key Responsibilities:
Project Planning & Execution
- Develop, maintain, and execute comprehensive project plans for healthcare software implementations.
- Utilize Jira and Jira Advanced Roadmaps/Plans to map out project phases, allocate resources, and track progress against key milestones.
- Maintain implementation pipelines and track customer onboarding health metrics using HubSpot.
Customer Relationship & Communication
- Serve as a primary point of contact for customers during the implementation lifecycle, leading regular status calls and kickoff meetings.
- Translate technical software milestones into clear, actionable steps for clinical and administrative stakeholders.
Risk Management & Roadblock Removal
- Proactively identify project risks (such as data migration delays, clinic training scheduling conflicts, or resource constraints).
- Clearly communicate risks to both internal leadership and external customer stakeholders before they impact go-live dates.
- Actively identify project dependencies and work cross-functionally to remove roadblocks, ensuring the technical and training teams can deliver on time.
Travel & Onsite Support
- Ability to travel up to 20-25 % for onsite client training and go-live support kick off meetings.
Skills and qualifications (mandatory):
- 2–4 years of project coordination or implementation experience, ideally within a SaaS, EHR, or healthcare technology company.
- Superior verbal and written communication skills, with a proven comfort level presenting to clients and managing executive-level stakeholders.
- Strong analytical skills with a knack for identifying bottlenecks, mapping dependencies, and driving solutions.
Skills and qualifications (preferred):
- Project management certification (e.g., CAPM, PMP, or Certified ScrumMaster/CSM) is highly preferred.
- High proficiency in Jira (including hands-on experience building out Jira Projects and Plans/Roadmaps).
- Hands-on experience with HubSpot
** As this role may support clients with government contracts, federal grants, or state-run healthcare systems, the final candidate must satisfy specific public sector security protocols, like background screening or fingerprints, if required.
