The Receptionist & HR Operations Assistant serves as the primary receptionist for the corporate office while also providing administrative support to the HR Operations and HR Compliance teams.
This position is responsible for answering and appropriately routing incoming calls, greeting and assisting visitors, supporting general office and reception activities, and assisting HR with routine case management, compliance activities, and administrative projects.
The role provides additional capacity to the HR team through administrative and transactional support while escalating HR questions or issues requiring interpretation, decision-making, or specialized HR expertise to the appropriate team member.
This position is based in our Tampa, FL Restaurant Support Center and will work an in-office schedule.
ESSENTIAL DUTIES
Reception & Office Support
- Answer incoming calls and route callers to the appropriate employee, department, or resource.
- Retrieve, redirect, and respond to messages received through company voicemail.
- Maintain an understanding of company departments and resources to appropriately direct incoming questions and requests.
- Open and close the Reception area in accordance with established office hours.
- Greet and assist visitors, including coordinating visitor badges and directing or escorting visitors to the appropriate office or meeting room.
- Maintain phone and contact information based on employee changes, including new hires and terminations.
- Support the security access badge process for new hires, terminations, and other employee changes.
- Maintain a professional and welcoming Reception area and assist with coordination of nearby conference rooms and common spaces.
- Coordinate routine Reception and breakroom supply and refreshment needs.
- Participate in Emergency Coordinator activities and meetings as required.
- Partner with Reception, Mailroom, Facilities, HR, and other teams to support daily office operations.
HR Operations & Compliance Support
- Provide administrative support to the HR Operations and HR Compliance teams as workload and business needs allow.
- Assist with incoming HR calls and inquiries by gathering basic information and routing employees, managers, former employees, or external parties to the appropriate HR resource.
- Assist with the intake, documentation, assignment, and routing of HR cases in the Case Management System following established procedures.
- Provide basic information or assistance using approved HR resources, knowledge articles, scripts, or standard operating procedures; escalate questions requiring HR interpretation or decision-making to the appropriate HR team member.
- Support routine HR Compliance activities, including administrative follow-up, tracking, documentation, reporting, and record maintenance.
- Assist with preparing, organizing, and maintaining documentation related to HR Operations and Compliance processes.
- Support routine reporting, data entry, correspondence, and other administrative activities for the HR team.
- Maintain the confidentiality and security of employee and company information and follow established privacy, compliance, and record-management requirements.
- Assist the HR Operations and Compliance teams with special projects and other administrative assignments as needed.
- Identify questions or requests requiring additional HR expertise and promptly escalate them to the appropriate HR Operations, Compliance, HRIS, Benefits, Payroll, or other HR resource.
- Perform other duties as assigned.
REQUIREMENTS
Education & Experience
- High School Diploma required; some college or an Associate’s degree preferred.
- 2–3 years of experience in reception, administrative support, customer service, or a similar role preferred.
- Experience supporting a corporate office, HR department, or other high-volume service environment is preferred.
- Prior HR experience is helpful but not required.
Skills & Abilities
- Strong customer service orientation with a professional and welcoming demeanor.
- Excellent verbal, written, and interpersonal communication skills.
- Ability to appropriately route questions and recognize when an issue should be escalated.
- Strong organizational and multitasking skills with the ability to balance Reception responsibilities with administrative HR assignments.
- Strong attention to detail and accuracy in documentation and data entry.
- Ability to follow established procedures, scripts, instructions, and standard operating processes.
- Ability to handle confidential employee and company information responsibly.
- Ability to work independently while collaborating effectively with HR and other corporate teams.
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel, with the ability to learn HR case management and other business systems.
- Dependable and punctual, with the ability to maintain consistent on-site coverage of the Reception area.
