Contact Administration Supervisor – Accounting Services Supervisor I

This is a highly responsible, independent position, in which the employee will supervise staff working with contact managers preparation and processing of service contracts, amendments, and grants.  Duties will include direct supervision of staff to ensure compliance with Department of Health and Department of Financial Services rules and polices relating to contracts and invoice payments.

 

Other duties and responsibilities include:

  • Oversee the processing of payments for grant and contract invoices
  • Review quarterly reimbursement requests for expenses and contract payment
  • Ensures file reviews are conducted yearly for each contract
  • Assist with year-end procedures including accruals and inventory reporting
  • Assist in the preparation of the State Expenditure of Financial Assistance reporting (SEFA)
  • Conduct trainings for contract managers on policies, procedures, and online systems

 

Knowledge, Skills and Abilities required for the position:

  • Supervisory skills
  • Ability to evaluate, analyze, understand and apply generally accepted accounting principles
  • Ability to analyze and interpret accounting data, to understand and apply applicable rules, policies and procedures related to accounting functions
  • Ability to communicate professionally, both verbally and written
  • Ability to coordinate group assignments
  • Ability to work independently, determine work priorities, and to ensure proper completion of work assignments
  • Ability to utilize problem solving techniques, make decisions and recommend solutions
  • Ability to establish and maintain effective working relationships with staff and outside providers
  • Strong computer skills, especially in Excel and Word

 

Minimum Qualifications:

  • Associate’s Degree
  • Experience in preparing, reviewing and/or monitoring legal contracts/two-party agreements
  • Ability to communicate effectively both verbally and in writing
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel)
  • Ability to apply rules, regulations, policies and procedures relating to an accounting program
  • Aptitude to work independently and as part of a team

 

Desirable Qualifications:

  • Bachelor’s degree in accounting, finance, or related field
  • Experience supervising direct reports
  • Experience in accounts payable or auditing
  • Experience in reconciling accounts
  • Experience with double entry (debit/credit) bookkeeping
  • Experience with Quickbooks
  • Current Contract Management certification
