Position Description

Summary:
The Administrative Assistant is responsible for professionally representing the organization as the first line of contact while also supporting the organization through various roles as outlined below:
Primary Job Responsibilities:
• Professionally represents the company through answering phone calls and greeting all guests who come into the organization
• Ensures that all interested candidates for hire complete an application and finds someone to talk with them at that time, if possible
• Oversees the phone system including routing of calls to employees across the organization
• Receives all mail and confidentially sorts and delivers the mail to the appropriate individuals and departments within the organization
• Creates and distributes accurate meeting minutes
• Manages outgoing mail for the organization including postage machine, UPS, and FedEx shipments
• Oversees all printers in the office and ensures proper function, including stocking toner at appropriate levels
• Manages, orders, and inventories office supplies
• Supports stocked inventory of apparel and safety equipment as assigned
• Completes bid documents to support estimators in submitting a bid with all required information and documentation on time
• Assists all Managers with job setup
• Assists with payroll information for field staff including proper coding of time to project and phases
• Prepares for, and oversees, Lakeland, FL virtual employee orientation in conjunction with Human Resources
• Assists with drug testing in accordance with the policy and with notification from the Director of Human Resources
• Assists estimating and project management in the printing and binding of drawings for the organization
• Performs filing and other document management processes as assigned
• Manages hotel reservations and flight bookings on behalf of travelling field staff
• Oversees the contract and services provided by the cleaning company, as well as addresses any issues that may arise
• Assists with various projects from all departments as they are needed
• Performs other duties as assigned

Position Requirements

Desired Qualifications/Skills:
• High School Diploma or GED and two (2) years of equivalent work experience
• Strong computer skills including Microsoft Office and Adobe
• Excellent verbal, written and interpersonal communication skills
• Must be capable of multi-tasking, problem solving and working in a fast-paced environment
