We are looking for an assistant to custom order team as needed; communicate with customers and overseas vendors to coordinate order process; assist with keeping internal records up to date.
Essential Job Functions
- Provide assistance to overseas coordinators as needed. Tasks include, but are not limited to – filing, order confirmations, sample shipments, order maintenance, email coverage if an individual is out of office
- Maintain and update internal order tracking and monitoring systems. In house training will be provided for all systems to be used.
- Receive and maintain accurate log of samples received on a daily basis. Organize sample storage areas
- Receive and distribute daily travelers, samples, paperwork, etc.
- Handle “InstaHit” program – includes creating purchase orders, communicating with customers and overseas vendors
- Ability to manage, balance, and deliver a prioritized work flow.
- Primary form of communication is via email, therefore strong writing skills necessary.
Requirements
- High school diploma.
- Strong writing skills. Careful attention to detail.
- Customer service oriented, professional and friendly with customers, employees, factories, and providers.
- Able to multi-task in a fast-paced environment. Must be organized and efficient in day to day tasks.
- Proficient with computer programs; proficiency with Outlook a must.
