JOB TITLE: Administrative Assistant

REPORTS TO: Manager

FLSA STATUS: Non-exempt

PURPOSE: Perform administrative responsibilities for assigned leaders. Responsibilities include screening calls, making travel and meeting arrangements, preparing reports, office management and coordinating meetings. Interacts with senior staff, Carriers, Board of Directors, executive assistants and outside visitors. This role requires candidates who are proactive, energetic, positive and highly organized with strong task management skills.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

  • Reconcile monthly corporate credit card charges and prepare expense reports.
  • Manage executive calendars including coordinating meeting schedules, conference calls, and prioritizing business appointments. Includes having knowledge of executives’ activities and advising appropriate parties using discretion relating to sensitive, confidential or personal information.
  • Develop agendas and coordinate meetings end to end (attendees, travel arrangements, agendas, conference room, catering, etc.)
  • Create Excel spreadsheets and PowerPoint presentations.
  • Compose correspondence, and prepare reports, presentations and other confidential documents.
  • Prepare and disseminate information between executives and management staff.
  • Follow up on projects to ensure they are completed in accordance with directions and instructions.
  • Arrange travel in accordance with company guidelines and executive expectations.
  • Serve as backup to Executive Assistants.

QUALIFICATIONS:

  • 3+ years of administrative support or relevant experience.
  • Strong MS Office Suite experience, with advanced skills in Outlook, Word, Excel, PowerPoint.
  • Excellent verbal and written communication skills, including experience writing business correspondence.
  • Strong multi-tasking skills to prioritize and achieve results in a fast paced, dynamic environment.
  • Ability to manage confidential and time sensitive information using the highest degree of discretion and integrity.
  • Ability to maintain professional composure and poise in high pressure situations.
  • Demonstrate excellent people skills with ability to work at all levels of the organization.
