GENERAL DUTIES AND RESPONSIBILITIES To perform this job successfully, an individual must be able to perform each general duty satisfactorily. General duties and responsibilities include, but are not limited to, the following.
- Pull and send needed documents as requested
- Create and prepare letters and memos as requested
- Shred documents as needed
- Maintains office equipment: copier, computers, printers
- Open and distribute mail
- Prepare overnight envelopes and Click2Mail items as requested
- Make copies, scan and save documents to Dropbox as requested and needed
- Keep inventory of office supplies and order as needed
- Assist with office organization (empty trash, refrigerator, keep sink area organized)
ESSENTIAL DUTIES AND RESPONSIBILITIES To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Essential duties and responsibilities include, but are not limited to, the following.
Financial
- Submit invoices to Leverpoint as requested
- Gather and organize information related to new acquisitions
- Gather, organize and complete information on new funding applications
- Research and spot odd/unusual expenses that need questioning
- Receive New Vendor Set Up forms for completeness and save in Dropbox
- Develop tickler system to ensure current Certificate of Insurance on file is current and up-to-date
- Prepare tickler system for business and mobile home permits that expire
- Renew business permits and mobile home permits as needed
- Prepare monthly spreadsheet of Amex receipts with back up and save to DropBox
- Post receivables to Rent Manager as needed
Personnel
- Organize new hire paperwork and send to Payroll provider as requested
- Maintain organization of personnel files in Dropbox
- Be a support and tool for onsite staff as needed
- Maintain excellent rapport with staff, vendors and residents
- Coordinate and place new uniform order for employees
- Make travel arrangements (i.e. flights, rental cars, hotel) as requested
- Assist with preparation of employee workshops and training.
Filing/Organization
- Maintain all computer file management in Dropbox folders for:
- Bedrock Property Management/Bedrock Communities/Owned Properties
- Individual Mobile Home Parks
- Personnel
- Forms
New Property Acquisitions
- Assist onsite staff with vendor set-up, transfer of utilities, transfer of other services/contracts
- Set up Dropbox
- Set up new employee e-mail account
- Set up and order new collateral as needed (business cards/letterhead)
Reporting
- Create worksheets and reports in Excel/Word as requested
- Organize and distribute weekly report on Park Owned Homes and Delinquencies
- Develop and maintain park information sheet and property lists and disseminate monthly
- Assist with preparation of market surveys
- Run credit applications through AMRents as requested
- Prepare monthly newsletter for Bedrock Communities and disseminate upon approval
Marketing/Social Media – Park Owned Homes
- Receive and review all POH sales paperwork
- Upon 100% completion, submit commission sheet to Regional for approval
- Upon approval, submit to Paychex for processing and save to Dropbox
- Coordinate and monitor process of listing Park Owned Homes on sites (Facebook Marketplace, MHVillage, FMHA, Craigslist)
- Monitor inventory to ensure timely listings
- Post sale listings on all advertising outlets to optimize quick and successful sale of homes and minimize vacancy
- Create Bedrock marketing campaign to include flyers, bandit signs, banners and other non-digital advertisements
- Establish and maintain a social media presence including Facebook Marketplace, Twitter, Instagram etc.
- Order branded marketing items as needed and requested (banners etc)
- Assist with all marketing efforts as needed
Legal
- Conduct title searches to begin eviction process
- Complete Demand notices for non-payment and other violations
- Coordinate hand-delivery of notices by On-site Property Manager on same day certified notice is mailed
- Save all filings and mailings in Dropbox
- Track all evictions currently with attorney
- Perform other tasks as assigned.
III. JOB REQUIREMENTS The requirements listed below are representative of the knowledge, skill and/or ability required to perform the essential duties and responsibilities satisfactorily.
- Ability to conduct themselves both at work and off duty in a manner that does not adversely affect the image of Bedrock Communities.
- Must have a valid driver’s license, proper automobile insurance and dependable transportation that is in good operating condition. Ability to do minor errands for firm (post office, bank, office supplies)
- Ability to maintain a professional image and attitude in keeping with the objectives of the firm.
- Ability to meet attendance requirements (regular and predictable attendance) Monday – Friday 9 a.m. – 5 p.m. (or 3 p.m.)
- Ability to work with others. The ability and willingness to accept and follow the directions of others.
- Possession of character traits of honesty, dependability, courtesy and cooperativeness.
- Ability to comply with all governmental laws and regulations, including, but not limited to, fair housing, and environmental and safety laws and regulations.
- Ability to comply with all firm policies and procedures.
- Possession of good organizational, leadership and communication skills.
- Possession of self-motivation and ability to motivate others.
- Proficient in Microsoft Office (Word, Excel, Outlook), Adobe, Rent Manager.

- Educational Qualifications – High School diploma with three or more years of administrative background. Property management experience a plus.
