Full Job Description

Benchmark International is looking for an experienced Administrative Assistant. This role is responsible for assisting the Executive Administrator in handling general HR and accounting tasks. The person in this position will handle highly sensitive information and therefore will require someone capable of high levels of confidentiality and trust. This role’s office hours are 8:30 am to 5:30 pm Monday to Friday with a one-hour lunch.

Your specific duties as an Administrative Assistant will include:

  • Review and scan invoices into QuickBooks and making sure they are scanned into the correct business entity
  • Receive and gather all credit card receipts and match them to the credit card statement for each business entity monthly
  • Generate and distribute client invoices for each business entity monthly
  • Generate payment requests for deal teams as needed
  • Assist with adding and removing job postings from job portals
  • Assist with employment verifications as needed
  • Assist with onboarding and offboarding of personnel
  • Process mail that comes into our department
  • Make bank deposits as needed
  • Provide general office support by performing a variety of clerical duties
  • Participate in proactive team efforts to achieve office goals
  • Comply with all policies, practices, and procedures, and report all unsafe activities to the supervisor

Specific qualifications for the Administrative Assistant include:

  • As an Administrative Assistant in the HR and Accounting Department, you must hold the information that you are privy to in the strictest of confidence.
  • Ability to read and interpret documents. Ability to write simple correspondence. Ability to present information in one-on-one and small group situations to vendors and other employees within the organization.
  • Ability to calculate simple mathematical concepts.
  • Ability to solve problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
  • Strong keyboarding skills.
  • Well-developed personal computer skills covering the use of Microsoft Outlook, Word, and Excel.
  • Experience in QuickBooks is preferred but not required
  • A/P and A/R experience is preferred but not required
  • Excellent customer service and time management skills
  • Ability to handle multiple tasks simultaneously

Salary

Our employees receive a bi-weekly salary. In this case annual salary will be approximately $35,000. This is a non-exempt position and overtime will be paid at statutory rates as required by applicable law; however, our Administrative Assistants are highly encouraged to work only 40 hours per week and as a result overtime and overtime pay should not be expected.

COVID-19 considerations:
All employees are required to wear masks in common areas and when visiting other areas of the office. Hired a part-time cleaner to clean high-touch areas daily. We have office-fogged our suite several times.
