BLX is seeking an Administrative Assistant in the Tampa FL office to support consultants, manage office, and work with other BLX admin staff in all offices to complete tasks.

Responsibilities:

  • General office duties such as answering phones, making copies, scanning documents, sending emails, ordering supplies, ordering lunches, working with vendors to maintain copiers, printers, etc.
  • Manage digital & physical files, organize & file trust statements, work with Records Department to request & return files
  • Create & update client contact records, maintain client portal sites
  • Assist in executing a direct mail campaign as well as other marketing initiatives
  • Accounting – enter status sheets in database, work with Accounting Department to request invoices
  • Collections – keep track of outstanding invoices, contact clients to collect outstanding amounts due
  • New Matters – enter new matters in database, draft engagement letters

Qualifications:

  • High School Diploma or equivalent. College degree preferred
  • 2+ years experience in similar office setting
  • Strong working knowledge of Microsoft Office (Word, Excel, Power Point, etc.)
  • Detail oriented with strong organizational skills
  • Self starter able to operate productively with minimum supervision
  • Ability to work well in a team environment
