Job Description

The Administrative Assistant position involves answering and screen all incoming phone calls and connecting them to the appropriate personnel. Greet all guests in a professional manner. Supporting other aspects of Calton including the Licensing and Registration process.

Essential Job Duties & Responsibilities

  • Answering multiple phone lines and distributing calls.
  • Act as a communication between the employees, clients and other divisions of the organization. Employee Schedules, phone numbers, addresses, etc.
  • Provide clerical and administrative support as assigned.
  • Schedule all meetings in conference room.
  • Sort out and hand over important packages, deliveries, or messages to appropriate departments and employees within the company.
  • Assist with Licensing and Registration requests.
  • Assist with scanning of documents upon request.
  • Responsible for all organizational duties related to daily outgoing mailings through FedEx, UPS and USPS.
  • Ordering and managing various office supplies as needed.

Education and Experience

  • High School diploma or equivalent
  • Associate’s degree (A.A.) or college-level coursework preferred
  • Industry knowledge / experience preferred, but not required

Skills and Abilities

  • Industry knowledge / experience preferred, but not required
  • Strong interpersonal and verbal communication skills including attention to detail and multitasking abilities
  • Basic knowledge MS Office and other relevant computer applications
