The Administrative Assistant provides a wide range of administrative and management support-related tasks for the COO and the department heads and management who report to the executive.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Respectfully takes direction from the COO, department heads and management
  • Maintains high degree of confidentiality
  • Provides administrative support to the COO, department heads and management, in a variety of capacities including telephone coverage, copier projects, mail handling, supplies control, processing of letters/correspondence, events/meeting planning, report generation, invoice/expense reporting, and assistance with other projects, as assigned
  • Manages and maintains the calendars of the COO
  • Responsible for meeting planning, which includes but is not limited to setting up meeting schedule, booking conference rooms, organizing materials, organizing catering or other food service/arrangements, room set-up, equipment and video conferencing set-up, book venues and services for off-site meetings and arrange transportation itineraries
  • Takes or transcribes notes, distributes meeting minutes, agendas and meeting packages
  • Maintains physical and electronic office filing systems for the COO

The Administrative Assistant will provide coverage for the front desk when the Receptionist takes breaks, lunch, and is away from the desk for other duties, or out of the office for business or personal (PTO) matters. The duties include, but are not limited to: greet incoming employees and guests in a friendly and positive manner, answer phones and direct calls to appropriate parties, take and deliver phone messages, handle incoming and outgoing mail and deliveries, maintain security by following procedures, and maintain break areas, coffee bars.

KNOWLEDGE SKILLS AND ABILITIES REQUIRED

  • Administrative writing ability to work with and maintain confidential company information
  • Professional phone etiquette is a must
  • High degree of initiative and independent judgment
  • Well-developed analytical and problem-solving abilities
  • Ability to organize work, engage in a variety of tasks simultaneously and consistently meet deadlines
  • Strong attention to detail; ability to perform duties with minimal supervision and with high level of accuracy

EDUCATION/EXPERIENCE REQUIREMENTS

  • High School Diploma or (GED) equivalent
  • Associates Degree preferred
  • Minimum of 1 – 2 years of related experience
  • Valid driver’s license and vehicle for some job tasks
