The Administrative Assistant (Client Services Coordinator) will provide exceptional internal sales support to assigned Brokers or an assigned Broker team and their clients, through efficient and high quality administrative and general support services. Administrative services may include: presentation support; listing preparation; transaction administration; gathering market knowledge through various internal resources and external resources, and coordinating promotional and post sales marketing materials.
Summary of Essential Functions:
Proposals and Presentations
- Assist in the preparation and coordination of listing pitches/presentations and proposals (e.g. responses to RFI’s and RFP’s), coordinate surveys, and provide general marketing support.
Market Knowledge:
- Prepare surveys (lease and sales comparables or availabilities).
- Liaise with appropriate departments to obtain data (e.g. finance, marketing, research).
Marketing Support:
- Administer, coordinate and edit marketing collateral.
- Create tour packages for brokers and bring packages to full completion.
- Assist with coordinating marketing campaigns/plans as it relates to Broker(s) listings.
- Maintain property listings on various websites, update Brokers’ recent transactions on Colliers’ website and other locations as advised.
- Maintain records of correspondence, complete marketing update reports and client activity reports.
- Liaise with Brokers regarding listing inquiries, tours and tour packages; coordinate smaller scale Broker functions.
Transaction Administration
- Prepare and facilitate changes of applicable Broker agreements.
- Update documents as required throughout the transaction and due diligence process.
- May support broker in processing/auditing of trade record sheets.
- Enter required data in centralized database, DTS, etc.
Other and General Administration
- Liaise with clients to coordinate information, organize meetings, and obtain required documentation.
- Provide general office support (e.g. file management, organizing distribution of marketing efforts, general office maintenance, invoicing and correspondence).
- Support Broker(s)’ database management requirements, including information pertaining to clients, key contacts, and/or prospects; including scheduling meetings and travel.
- Provide other office support as required, including covering reception desk as needed; and answering phones as appropriate.
- Perform other duties as assigned.
Required Skills:
- The successful candidate will have a bachelor’s degree; experience may be substituted for education.
- Possess strong computer skills, including intermediate – advanced knowledge of Microsoft Office products such as Outlook, Word and Excel.
- InDesign experience is considered a huge plus (strongly preferred).
- Experience conducting research using MLS, Costar, and the Internet is a plus.
- Experience in the Commercial real estate sector or a related professional services industry is a plus.
- Strong planning and organizational skills; is highly effective at prioritizing tasks and seeing things through to completion.
- Demonstrated professional and courteous interpersonal skills (telephone and in-person).
- Is discreet; understands when confidentiality is required.
- Demonstrated ability to work under pressure to adhere to deadlines.
- High level of energy and initiative.
- A quick learner – is able to learn about the company (people and departments) quickly and accurately.
