Job Description
- Sets up new appraisal “jobs” in the company database system / log book and manages the creation and storage of job folders and files – in both electronic and hard copy.
- Puts together weekly schedule of new appraisal or litigation jobs.
- Binds hard copy presentation materials for clients using a binding machine.
- Works with clients to gather materials – sends out all the requests for data for all valuation assignments to the property contacts.
- Applies for temporary work permits for appraisers throughout the country via each state’s website and other necessary procedures.
- Supports at a team of at least 3 executive level supervisors.
- Assists in updating materials for marketing projects, including but not limited to client packages, planning and coordinating visual presentations for clients, etc.
- Assists in the preparation of booking/invoicing statements, business and financial reports, etc. as needed.
- Types and supports the production of proposals, general correspondences, memos, charts, tables, graphs, site plans, etc.
- Schedules and organizes activities such as appointments, meetings, travel, and conferences.
- Represents the Company to guests and clients. Answers multiple-line phones and works in cooperation with administrative support associates at other offices to cover company phones and provide support team assistance.
- Performs other duties as assigned. Qualifications
- 3+ years of experience in an administrative assistant/secretarial, office administrative role, and knowledge of use and operation of standard office equipment preferred.
- Must have prior experience working with creating and managing files in a database system.
- Intermediate to high level of proficiency required in: MS Word, Excel, Power Point, and related software.
- Experience with Access or similar database systems preferred.
- InDesign software proficiency a plus.
- Intermediate knowledge of Adobe creative suite – Photoshop and Illustrator proficiency a plus.
- Ability to touch-type accurately at 45 wpm or higher required.
- High school diploma or GED required.
- Prior experience or coursework in either Appraisal or Real Estate industries is a plus.
- Ability to represent the company professionally in front of guests with a pleasant demeanor, and hospitality / customer service focus.
