Position Summary:

The Administrative Assistant is responsible for all clerical duties relating to the Administration office.

Qualifications:

  • Must possess a high school diploma or equivalent; Associates or Bachelor’s degree preferred
  • Possesses excellent communication and interpersonal skills, both verbal and written
  • Possesses customer service and hospitality skills
  • Strong typing and computer skills
  • Must be efficient, organized, and able to multi-task
  • Proficient in Microsoft Office
  • HR related experience preferred

Essential Duties and Responsibilities:

  • Answers and directs all phone calls, schedules appointments, greets and directs visitors and employees.
  • Creates all itineraries and types all meeting minutes for meetings. Prepares board meeting packets.
  • Assist Accounting staff (Billing/Accounts Payable)
  • Check deposit process
  • Property and Ad Valorem Taxes process
  • Resident statement information
  • Accepting payments from residents
  • Assist Human Resources staff
  • Provide HR/Payroll forms to employees
  • Set up online application devices for new applicants
  • Performs a variety of clerical functions including typing, copying, filing, coordinating COO calendar, tracking information, and filing. Organizes paperwork for the Administration office.
  • Orders supplies and maintains inventory for the Administration office.
  • Commits to high ethical standards and complies with the Code of Conduct, state and federal regulations, accreditation standards and Concordia policies and procedures. Maintains confidentiality of resident/employee records and information. Has a duty to report compliance concerns, significant legal risk questions, fraud, abuse, suspected or actual misconduct to a supervisor/manager or to the Corporate Compliance Officer.
