POSITION SUMMARY
The Administrative Assistant supports the work of the Manager, Board and Community Relations. Responsibilities include but are not limited to assisting in the daily oversight of supporting CEO scheduling, daily management of contracts and/or grant deliverables.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Manage CEO calendar by planning and scheduling meetings, teleconferences and travel
· Conserve CEO time by reading and routing email correspondence ensuring confidentiality
· Support scheduling, document preparation and administrative tasks associated with all Board, Committee and other Board related meetings
· Support preparation of appropriate reports for all funders and ensure compliance to all contracts
· Coordinate the receipt of awards and contract documentation; maintain proposal and funding records database
· Assist in gathering (researching) required information for the proposal of grants/contracts including internal data points or financial information for grant budgets
· Manage distribution of all incoming USPS mail
· Manage conference room calendar
· Perform other duties as assigned
SUPERVISORY RESPONSIBILITIES None.
QUALIFICATIONS
· Associate degree and a minimum of two years related experience or equivalent combination of education and experience; non-profit experience preferred
· Proven ability to maintain a high level of confidentiality and discretion
· Excellent time management skills and a proven ability to meet deadlines
· Ability to work collaboratively
· Ability to effectively communicate to diverse audiences
· Advanced knowledge of Microsoft Office Products
· Local community outreach knowledge and experience preferred
· Knowledge of Roberts Rules of Order and Sunshine Law preferred
· This position requires successful completion of the level 2 background screening standards as set forth in s. 435.04, F.S.
· Valid Florida driver’s license and the ability to drive a passenger vehicle
Physical Activity/ Work Conditions
· Work Environment: This job operates in a general office setting. This role routinely uses standard office equipment such as computers, phones, copiers/fax machines. While performing the duties of this job, the employee frequently interacts with staff, vendors, and the public in person and via telephone and email.
· Physical Demands: While performing the duties of this job, the employee will be required to sit for prolonged periods, at a desk, utilizing a computer, reviewing online, and paper documents. The employee will also be required to lift and move up to 25 pounds and occasionally lift and move up to 50 pounds.
· Position Type and Expected Hours of Work: This is a full-time position. Standard hours of work are Monday through Friday, 8:30 a.m. to 4:30 p.m. (37.5-hour workweek), however evening and weekend hours may be required.
