Full Job Description
Job Summary: The Administrative Assistant has several key responsibilities in four main areas: inventory management, human resources new employee paperwork, and administrative support.
I. INVENTORY
– Enter Forming and Injection production into All Orders.
– Verify AO numbers match the intranet numbers.
– Investigate when AO does not match the physical inventory.
– Confirm received products in AO.
– Conduct month end inventory and recounts.
– Contact the Plant Manager with any production entry errors to be corrected.
II. HR Support
– Check payroll daily. Enter and fix any incorrect timecards.
– Verify all timecards are correct on Mondays, inform HR to start processing.
– Enter employee approved vacation time.
– Issue attendance warnings to employees.
– Assign attendance points to employees who are absent, tardy, or leave early.
– Assist HR with giving, receiving, and scanning paperwork for employees.
– Assist with new hire paperwork and send to HR.
– Meet with Temp agencies. Answer questions and give insight on how temps are preforming.
– Assist employees and HR with updating and revising documents.
– Answer employee’s questions, or point them in the right direction to find the answer.
– Enter new employees into timeclock and teach them how to use it.
– Post documents requested by HR.
– Assist HR with other tasks as needed.
III. ADMINISTRATIVE Support
– Update and send scrap report.
– Verify box quantities and place orders for boxes.
– Order pallets and any additional supplies as needed.
– Distribute checks to employees.
– Coordinate monthly safety meetings with the Plant Manager.
– Answer business phone calls and emails.
– Meet and greet visitors and vendors.
– Meet with approved vendors weekly to order PPE, GMP, bags, and other products.
– Verify number of employees per shift does not exceed what is allowed.
– Help team with any other duties as needed.
IV. Update BUILDING ENTERY BAGE SYSTEM
– Issue and activate entry cards to new employees.
– Assist with suspending/terminating hired in employees.
– Terminate, replace, or request temps when necessary.
– Deactivate entry cards for employees that are no longer allowed on site.
Required Skills and Qualifications:
-Two to four years of office administrative work in a professional office or manufacturing plant
-Strong Microsoft applications skills in Word, Excel and Powerpoint
-Strong attention to detail and accurate data entry
-Solid oral and written communication skills
-Spanish speaking and writing skills are a big plus.
-High school diploma required. College level coursework is a big plus.

Pay: $18.00 – $22.00 per hour
