Job Summary
We are currently seeking an Administrative Assistant / EEO Liaison for our Tampa Construction office.
Essential Duties and Responsibilities
- Answering and directing incoming calls to the appropriate individuals
- Retrieve and forward messages received in the general mail box
- Greet all visitors and applicants in a professional and courteous manner
- Assist the customer with basic requests such as address and contact information
- Monitor visitor access and maintain security awareness
- Signing for packages, receiving and sorting incoming mail and distributing to the appropriate individuals and preparing outgoing mail
- Maintain inventory of and order office supplies of all kinds
- Maintain office equipment such as copiers and set up maintenance and repair as needed
- Maintain front desk appearance and cleanliness
- Assist with A/P coding, vendor lookup, data entry
- Assist with other administrative duties and day-to-day tasks as needed
- Support the Company’s equal opportunity programs and project requirements as the EEO Liaison for the South region
- Partner with Contract Administrators and/or Project Managers regarding DOT jobs
- Attend DOT meetings (Precons & OJT)
- Conduct EEO meetings
- Work with subcontractors to ensure their compliance with EEO
- Ensure certified payrolls, ARRA & LAP reports are submitted correctly and in a timely manner
- Prepare OJT schedules, trainee enrollment and proficiencies
- Notify EEO Officer of compliance audits; prepare audit packages and attend reviews
- Attend annual DOT workshops (if applicable)
- Perform Bulletin Board Inspections
- Review spread of wages on payrolls and for trainees
- Other duties as assigned
Requirements
- 1-3 of prior receptionist or EEO experience
- Previous experience working in the Construction industry preferred
- Excellent time management skills and the ability to muti-task
- Strong computer skills, including MS Office (Outlook, Word, Excel, Powerpoint)
- Strong communication skills, both oral and written
- Ability to work in a team environment and provide support to staff
- Ability to handle confidential information and use of discretion while performing job tasks
- Ability to work independently, organize, and prioritize work assignments
- Exceptional accuracy and detail oriented skills required
- Customer service oriented
Physical Requirements
- This position is a largely sedentary; however, caution needs to be taken when lifting files, boxes, opening file cabinet drawers.
- To avoid injuries to hands, back and neck, proper ergonomics should be maintained while working at desk/workstation.
- There are occasional visits to the storage area in which case safety rules must be followed.
