JOB OVERVIEW

The Administrative Assistant shall be responsible for administrative assistance to a Director at the Tampa Sports Authority.   Additionally, the Administrative Assistant is responsible for the management, coordination, and supervision of the day-to-day activities of the office administration for an Authority division.    The Administrative Assistant handles the administrative functions including maintaining calendars, event ticket orders, department filing systems, completing all administrative functions for director, preparing event information sheets and maps, and other special duties assigned.

MINIMUM QUALIFICATIONS

An Associate Degree or equivalent college credits from an accredited college or university with a major in office administration and two (2) years of administrative/secretarial experience.  Appropriate experience in the clerical field may be substituted at the rate of two (2) years experience for each year of college.

Must have a thorough knowledge of office equipment and computer systems with a demonstrated ability to use Microsoft business application software.

Ability to type 60 + net words per minute.

Valid Driver’s License is required

DUTIES AND RESPONSIBILITIES

  • Performs clerical, secretarial, and confidential duties in support of the Facilities Division.
  • Maintains Director of Facilities calendar and coordinates inter-agency and external scheduling, including all regular, special and committee meetings, appointments, and conferences. Prepares all meeting agendas, schedules and coordinates appointments, reserves rooms, coordinates attendees, prepares documents and oversees the transcription of operations meetings.
  • Prepares, proofreads, and distributes correspondence, memos, spreadsheets, logs, invoices, and reports in final form, for approval or signature.
  • Reviews incoming postal mail, electronic mail, correspondence and statements and forwards to supervisor or other department employees.
  • Accesses, secures, and monitors restricted, sensitive, and confidential records or information to include but not limited to records involving personnel, payroll, performance or disciplinary actions, and security.
  • Maintains a working knowledge of budgetary procedures and controls. Assist in verification of proper coding of departmental expenses to ensure accurate accounting and provide sufficient data for financial preparation and budget planning.
  • Creates, updates, and maintains general administration files for the Stadium Facilities Division.
    Responds to staff inquiries concerning Division administration issues.
  • Attend and participate in Authority meetings when required. Participate in other weekly meetings necessary for conducting internal and external business. Attend regularly scheduled staff meetings to share relevant information and gain feedback relating to methods to improve service to customers, both internal and external, and to insure efficient operations of the grounds for events. Attendance and/or Local travel may be required for meetings held off site.
  • Keeps abreast of innovations, improvements in procedures, and developments within the operational aspects of our industry to seek better methods to improve efficiency, levels of service, personnel performance, and reducing operating costs.
  • Assists in providing a safe environment free of harassment for department employees and ensure compliance with all Authority policies, applicable OSHA standards and local, state, and federal laws including the Americans with Disabilities Act of 1990.
  •  Use computer terminal to enter and retrieve information and assemble reports as required. Oversee the creation and maintenance of the Division filing system in compliance with all Authority policies, State, and Federal laws.
  • Perform other duties, functions, special projects, and responsibilities, as assigned.

JOB SPECIFICATIONS

  • The Administrative Assistant shall be knowledgeable in all Authority policies, general office policies, administrative and operational rules, and procedures for the Authority.   Ability to exercise sound judgment in applying and interpreting these policies and procedures.  Must be knowledgeable on coding procedures and filing.
  • Exceptional organizational and interpersonal skills.
  • Knowledge of English, proper grammar, spelling, and arithmetic.  Ability to demonstrate excellent oral and written communication skills in the English language.
  • Ability to compose and prepare effective correspondence and express facts and ideas clearly and concisely, orally and in writing, to groups and to individuals.
  • Position requires irregular schedules, including evenings, weekends, and holidays; the performance of work assignments may not be directly related to job specifications.  Adjustments of shifts, overtime, breaks, etc. may be required upon short notice.
  • Develop and maintain accurate files and records for Stadium Operations Administration.
  • Position requires ability to interact with fellow employees, tenants, clients, the public and outside vendors in a courteous, cooperative, and professional manner.
  • Maintain a high public image, positive attitude and demeanor when performing a service for customers and the public in the facilities.

  • Employee Assistance Program: This program provides all employees and family members with professional, confidential counseling sessions. All employees and dependents are afforded up to six (6) free visits per Plan year. Coverage begins on the first day of employment.
  • Tuition Reimbursement: Employees may be reimbursed up to $1,000 (undergraduate), $2000 (graduate) per fiscal year for classes at an accredited college or university for courses that enhance your ability to perform your current job duties.
  • Holidays: Employees receive up to twelve (12) paid holidays per year.
