In-Rel Properties is currently seeking a skilled Administrative Assistant to join its expanding team in Tampa, FL.   

The Administrative Assistant will assist with the administrative and operational functions of the Property Management Department, with a career path in Property Management.

MAIN DUTIES & RESPONSIBILITIES 

  • Property Social Media updates
  • Coordinate and dispatch maintenance staff and/or outside vendors
  • Answers main phone line, perform general typing and reception duties
  • Answer and respond to tenant problems, concerns and requests
  • Maintain an ongoing log of maintenance issues, updating as issues are resolved and placing follow up calls to tenants
  • Maintain certificate of insurance files, ensure compliance.
  • Maintain Property files, Maintenance files, Vendor files and Computer files
  • Perform tenant administration functions which include tracking tenant A/C maintenance contracts, tenant insurance certificates, tenant restaurant grease trap maintenance contracts and maintain tenant contact & emergency contact lists
  • Prepare letters to tenants re: maintenance issues, bill backs, etc.
  • Research, code and process invoices for payment with Manager’s approval to include reviewing vendor statements, invoices for contract vs. billed price & reconciliation of credit card receipts for maintenance
  • Assist in the preparation & implementation of preventative maintenance programs to include distribution of maintenance checklists, scheduling & coordinating inspections and the receipt, review and documentation of checklists
  • Processes work orders from the property’s tenants through the established work-order system
  • Other duties as necessary to manage the property as directed by the Property Manager

SKILLS NECESSARY TO PERFORM JOB FUNCTIONS

  • Proficient in Excel, Word, Outlook, and Yardi
  • Moderate understanding of financial statements and accounting functions
  • Excellent organizational ability in order to set priorities, organize workload, handle multiple tasks and meet deadlines in a fast-paced working environment

DESIRABLE ADDITIONAL EXPERIENCE AND SKILLS

  • Bachelor Degree preferred
  • One to two years of experience working in a fast paced office environment
  • Experience working with real estate accounting applications, e.g. AMSI, YARDI, etc. a plus
  • Experience working with work order systems or facilities management applications a plus
