Job Title: Administrative Assistant

SUMMARY

Works in the Executive and Administrative Department by performing the duties outlined below. The Administrative Assistant is expected to be prompt and may need to work overtime for company business as needed. The Administrative Assistant may need to provide relief coverage for the receptionist or other Administrative personnel. Attention to detail, confidentiality, professionalism, and follow-up skills are critical.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties as assigned.

  • Answering/prescreening phone calls and take messages for the VP or other members of the Executive office
  • Type memos, letters and respond to email correspondence as requested
  • Coordinate travel arrangements with a focus on cost and ease of travel as of backup when needed
  • Maintain Certificate of Insurance via spreadsheets, follow up on outstanding items
  • Coordinate with Safety or other Departments on Contractor and vendor listing and agreements
  • Assist visitors, vendors, and internal employees seeking meetings or details from or with the Executive
  • Operate office machines such as computer, fax and copier, water coolers and ensure service according to contract. Maintain company cell phone changes and additions. Review and approve payments.
  • Prepare correspondence, reports, company presentations and other documents
  • Assist with other miscellaneous office duties for various administrative staff
  • Oversee the Purchase office supplies and maintain coffee orders for customers & staff
  • Support business meals or luncheons, run errands for office needs. Organize special events as needed. Order gift arrangements as needed.
  • Schedule building maintenance as needed
  • Order business cards as needed, obtain quotes as needed
  • Assist Marketing with product needs and other members of management
  • Oversee the maintainance of company phone lists and contact lists
  • Other duties as assigned

QUALIFICATIONS

Excellent verbal communications skills

Intermediate-level knowledge of MS Office (Word, Excel, and Outlook) Internet savvy

IT / computer knowledge a definite PLUS

Appearance/Personality: Professional, punctual, upbeat, energetic, takes initiative, dependable, takes pride in work

EDUCATION and/or EXPERIENCE

High School Diploma, some college courses, and five (5) years’ experience in office support position. Strong customer service, both internal and external, communications and interpersonal skills required. Heavy industrial and/or construction office a plus.

  • The Administrative Assistant works primarily in the office environment, however he/she must be able to go on company errands and into the shipyard as needed. Must be able to work OT, Holiday, and weekends as needed. Overtime needs should be discussed with his or her Manager ahead of time.

Pay: $25.00 – $28.00 per hour
