You will be responsible for providing support to a dynamic and growing GS Finance North America Invoice-to-Cash Organization with two Directors, five managers and staff of 60+. You will be an energetic, self-motivated and solutions-oriented member of the team who values their important contribution to achieving efficient and effective operations within the department.
Key responsibilities include:
  • Maintain and update department calendars, plan and schedule meetings and events on and offsite
  • Coordinate all pertinent meeting/ event details for audio visual, catering, presenters, participants, materials, etc. as required
  • Manage the procurement process for supplies, services and other expenses of various size from small to capital-investment; create purchase orders for expense and capital requests, reconcile outstanding invoices and discrepancies; track departmental budgets and expenses
  • Use advanced computer skills to create/update Powerpoint presentations and other forms of communications;
  • Researches, gathers and compiles data and information to prepare reports and summaries
  • Organize and store documents and knowledge assets such as policies and organizational charts to ensure they are current, accessible and well organized.
  • Serve as communications liaison to internally publish department communications and notices

Qualifications

  • High School diploma is required; college degree is preferred
  • A minimum of five (5) years of work experience is required
  • Outstanding administrative and organization skills; detail oriented; able to prioritize and multitask; strong ownership evidenced through initiative and ownership for end result; highly proactive mindset is required
  • Professional and confident demeanor to interact with executive leaders internally and externally is required
  • Excellent collaboration, organization and troubleshooting skills
  • Strong proficiency in Microsoft Office 365 programs; creating/editing in Word, PowerPoint, and Outlook is required.
  • Demonstrated talent with productivity tools and portal technology, including WebEx, Skype for Business and SharePoint sites is required; demonstrated desire and capability to learn and adopt new productivity tools
  • Experience working with purchasing and travel an expense (for example, ARIBA and CONCUR) and other similar systems is required
  • Excellent verbal and written communications skills, with exceptional collaboration and interpersonal skills are required.
  • May require up to 5% domestic travel
