Job Description

We are currently looking for a Maintenance Administrative Assistant at  our Grande Oasis community located in Tampa, FL

*Monday – Friday 9:00am – 6:00pm

The position calls for efficiency and excellence in a variety of scenarios, and the ability to work independently under minimum supervision. Organizational skills and the capacity to prioritize and make quick decisions involving multi-tasking of multiple projects are essential for this role.

Duties & Responsibilities:

  • Perform varied, complex, and confidential administrative duties under limited supervision, requiring a thorough knowledge of policies, procedures, and precedents
  • Screen calls and inquiries, disseminating to the Community Manager when necessary
  • Assist the Community Manager in the preparation and updating of daily, weekly, and monthly reports and resident communications
  • Attend meetings upon request
  • Perform special projects when necessary, as directed by the Manager (e.g. ordering supplies, updating insurance policies, etc.)
  • Contribute ideas for maximizing results and the continued improvement of resident satisfaction
  • Field over-the-phone and in-person requests from residents and tenants, handling all requests with superior customer service skills
  • Perform other related duties as assigned

Skills & Requirements

  • Admininistrative Assistant experience, preferrably in a property management setting.
  • Strong computer skills, including Microsoft Office proficiency (Word, Excel, PowerPoint, Outlook)
  • Strong customer service skills, including verbal and written communication skills
  • Ability to juggle multiple duties/projects at once
  • Ability to communicate and handle confidential information
  • Income Collection or Accounts Receivable experience preferred
  • Some prior maintenance background is a plus
  • Bilingual – Spanish both reading and speaking REQUIRED
