Administrative support personnel oversee the office environment and provides additional administrative support for the team executives. This position is an excellent entry-level opportunity for an individual interested in learning more about operational support and HR management, as you may be called on to assist any department at any time. The right candidate will have a strong sense of responsibility and the ability to see the bigger picture while proving their ability to work independently.

Responsibilities:

  • Serve primary person responsible for overseeing the office environment, greeting guests, answering the central phone line for general inquiries, managing office guests and security, accepting mail and packages, processing daily mail, maintaining vendor relations, ensuring availability of supplies, and ensuring overall office cleanliness in coordination with maintenance staff.
  • Assist in onboarding new staff members, especially during surge times
  • Calendar management requiring interaction with both internal and external parties
  • Prioritize and manage multiple projects simultaneously and follow through on issues promptly
  • Assist with timecard management
  • Track quantities and order office supplies
  • File and retrieve documents and reference materials
  • Conduct research, collect and analyze data to prepare reports and documents
  • Record, transcribe and distribute minutes of meetings
  • Collaborate with internal staff at all levels
  • Review operating practices and implement improvements where necessary
  • Assist executive administrative staff with tasks as assigned

Requirements:

  • Associates/Bachelor Degree a plus
  • Two or more years of experience supporting management-level individuals
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook
  • Excellent oral and written communication skills
  • Strong attention to detail and accuracy
  • Ability to handle multiple tasks efficiently and effectively
  • Positive attitude, self-motivated, organized, and a good problem solver
