BASIC DESCRIPTION

Professional individual who has experience and comfort level to handle both the routine responsibilities of running a small yet busy office as well as handling the administrative tasks of various individuals with varying responsibilities. The technical qualities required are intermediate/advanced skills in Microsoft products with an emphasis on Word and Excel, the ability to grasp new software products easily and experience in handling normal office related machines. The necessary personal qualities would include exceptional organizational skills, the ability to think through challenges, comfort level in making decisions with very limited direction, the willingness to perform mundane tasks that are necessary for a successfully run office and above all a high degree of confidentiality and discretion.

REGULAR RESPONSIBILITIES

  • The workspace will be the reception desk and the reception duties will include among other things:
  • Answering telephones with a high degree of professionalism and discretion
  • Greeting guests and making them comfortable while waiting
  • Handle cold calls (telephone and in-person) with courtesy
  • Take messages based upon individual staff preferences
  • While most of the staff are self sufficient in their daily responsibilities, there are many occasions when you will be called upon to assist. Some, but not all of these tasks would include:
  • Preparing exhibits using Word/Excel that will be sent out to various business partners.
  • Create and maintain schedules and reports that would be for internal use
  • Doing research using other software products on individual initiatives
  • Accumulating data from multiple property sites and organizing the results in spreadsheet form that can be used to analyze trends
  • Managing the office will be your responsibility. This will include but not be limited to:
  • Mail coordination including packages, letter mail, electronic mailings, etc.
  • Purchasing of office supplies in a cost efficient manner
  • Managing the vendors used in maintaining the office
  • Running errands when necessary
  • Coordinating lunch orders and scheduling client meetings
  • Efficiently maintain the various calendars
  • Handle travel arrangements based on individual staff preferences

It is critical the Office Manager/Administrative Assistant have the skills to perform all tasks. While we are a growing organization, we are at a size that requires every staff member to be proficient in a multitude of abilities.
