The Administrative Assistant provides support for the Patel Conservatory team.
Primary Duties and Responsibilities:
Administrative:
- Coordinates calendars and meetings and provides administrative support.
- Tracks all expenses and reconciles them with monthly general ledger reports.
- Compiles and maintains weekly status reports on enrollments, tuition, and ticketing monthly.
- Assists in the preparation of reports for committees and Board of Trustees.
- Compiles data, copies, and assembles materials for distribution.
- Collects and enters data to assist in the preparation of statistical reports. Collects assessment and evaluation data.
- Coordinates, collects, and compiles data used for maintaining the Conservatory’s Accreditation.
- Assists with uploading and coding expense transactions, compiling receipts, and completing expense reports.
- Assists supervisor with production budgets and financial settlements for all Patel Conservatory productions and events. This includes:
- Tracking and coding expenses and receipts.
- Gathering invoices from other departments.
- Assembling all settlement paperwork according to standard practices for review.
- Coordinates volunteers, pairing them with a department, taking them through the orientation process and communicating with the school representative as needed.
General:
- Coordinates departmental functions and special events.
- Performs other duties as assigned to ensure the overall smooth operation of the department.
Position Qualifications:
Core Requirements
- College degree preferred. Equivalent experience may be substituted.
- Two to three years of administrative and project management experience.
- Availability to work occasional nights and weekends, as required.
Special Skills/Abilities
- Proficient in Microsoft Office applications to include Outlook, Word, Excel, and PowerPoint.
- Ability to handle sensitive personal and company information appropriately.
- Tessitura experience a plus.
