Transflo Administrative Assistant Job Description
The Administrative Assistant is responsible for supporting the Executive Leadership Team and reports directly into the CEO and CFO. A 50/50 onsite/remote schedule is required in this role. While an onsite presence is needed for maintaining the space, presentations and reports may be completed remotely. Job Requirements:
· Answer phones and greet visitors
· Schedule appointments and maintain calendars
o Assist each Executive Leadership Team member with administrative and repetitive tasks within their groups
· Schedule and coordinate staff and other meetings
· Schedule conference rooms
o Organize and prep materials
o Prepare conference area
o Book reservations
o Order food
· Collate and distribute mail and package deliveries, assist with outbound mailings and deliveries including new hire packages and laptop equipment
o Maintain mail machine
o Prepare UPS and Fed Ex packages when IT is not available
o Order company supplies
o Prepare New Hire Packets
o Maintain the breakroom assure that it is properly supplied
§ Stock cups, creamer, plates, cutlery, paper-towels, sugar
§ Maintain vending machines (beverage and snack)- ensure stocked
§ Maintain refrigerators
· Prepare communications, such as memos, emails, reports, and other correspondence
· Create and maintain filing systems, both electronic and physical
· Assist with travel arrangement and expense reports
· Assist with event planning and coordination, including trade shows and user group conferences
· Adhere to all department and company policies
· All other duties as assigned
Qualifications:
· College Degree, preferred
· 3 years of experience in an assistant role
o Exc. Telephone acumen
o Exc. Ability to greet
· Proficient in MS Office Suite, inc. PowerPoint
· Ability to work independently and follow directions
· Ability to meet and exceed deadlines
· Ability to edit documents quickly
o Detailed oriented
· Excellent vocabulary
· Professional acumen
o Poised
· Honest, trustworthy, reliable, detailed oriented, dedicated
· Excellent time management skills
· Ability to work onsite as needed or remote when able
Physical Demands:
· Walk, stand, lift up to 30lbs, reach, bend, carry, hear, computer dexterity, speak, greet.

Pay: $55,000.00 – $65,000.00 per year
