Primary Duties & Responsibilities

  • Reception Duties to include:
    • Answering and routing phone calls (we use VoIP system-Nextiva) – not too active
    • Answering caller FAQs (plenty of support provided)
    • Greeting walk-in guests and customers (on occasion)
  • Administrative Support duties to include:
    • Working with team members with multiple, defined automated and manual processes
    • Utilizing Microsoft Dynamics 365 software to:
      • Log data and communicate with team members and clients
      • Enter information in Leads, Opportunities & Accounts
    • Handling Fulfillment orders:
      • shipping of physical and e-documents –
      • documenting files, creating and managing shipping (FedEx, UPS, USPS)
    • Assisting with e-document management via SharePoint
    • Ordering and maintaining office supplies
  • Accounting Support to include:
    • Receiving, processing and applying customer payments (checks, credit cards, E-checks, etc.)
    • Assisting with Accounts Receivable – reconciliation and potentially some email follow up with agents and customers
    • Assisting with Accounts Payable reconciliation and potentially some email follow up with vendors/carriers

Required Abilities, Knowledge and Skills

  • Open-minded attitude with the willingness and desire to learn and grow. We will assist and train the right person with all the rest. We’re looking for a long-term relationship with a potential super star to become a key part of our dedicated and motivated team of professionals. No prior industry experience is necessary.
  • Comfortable using and learning new software and technology.
  • Computer skills are necessary– a working knowledge of the primary Microsoft products (Windows, Outlook, Word, Excel … Experience with Microsoft Dynamics 365 would be a plus!)
  • A team playerwith exceptional people skills and the ability to collaborate
  • Excellent oral and written communication skills
  • Strong organizational and processing skills – ability to multi-task in a fast-paced, dynamic environment
  • Ability to multi-task and handle multiple phone-lines
  • Ability to time manage and prioritize work flow

Qualifications

· To be considered for this position, applicants need to meet these minimum qualifications listed below:

  • College degree preferred but not mandatory
  • Experience and a good degree of competence with Microsoft Outlook, Word and Excel.
  • Experience with Adobe
  • Experience and highly skilled in Customer Service.
