This position plays a critical role across a division at PSCU by providing comprehensive support to assigned Senior Vice President(s) (SVP). The individual will assist in coordinating projects and enterprise-level initiatives. Assist in aligning key resources in order to execute and implement the teams’ high performance business model. This position requires a hands-on, self-motivated, and astute individual who is flexible and thrives in a dynamic environment within an evolving industry.

The Administrative Assistant will coordinate and administer a high quantity of complex and confidential issues that must be resolved daily in a responsible, efficient and timely manner. You will be responsible for coordinating all correspondence such as email, appointments, walk-ins and work flow of the SVP(s). Organize meeting functions for visiting credit unions, senior management meetings and other company events as directed.

Being effective in this role requires an aptitude for building strong, trusting partnerships spanning both executive and employee levels across the organization while being able to manage projects and initiatives requiring independent judgment, initiative and ability to influence without authority.

ESSENTIAL FUNCTIONS:

  • Proactively provide superior administrative support to the SVP ensuring routine and complex matters are handled in a timely and professional manner.
  • Coordinate projects of various complexities, enabling the efficiency of business operations while working closely with the SVP and leadership team.
  • Organize and execute meetings/events; coordinate tasks such as contacting participants, preparing agendas, and taking and distributing meeting notes.
  • Interact and communicate effectively with all levels of employees, credit unions and vendors.
  • Organize and prioritize the inflow of information and the outflow/work product from the SVP’s office to ensure all items are completed by the SVP on a timely and accurate basis.
  • Schedule and coordinate all logistics of travel arrangements. Submit travel and entertainment expense reports. Manage the SVP’s calendar, email and contact list, including routine meetings and those with credit unions and vendors.
  • Manage priorities and schedule conflicts to resolution.
  • Prepares follow up correspondence as requested.
  • Prepare and edit presentation material, correspondence and reports, including conclusions on issues that are confidential, maintaining proficiency utilizing various software packages.
  • Proactively contact participants, prepare agendas, and document meeting notes and minutes.
  • Responsible for maintaining document retention and post-meeting filing requirements.

OTHER RESPONSIBILITIES:

  • Determine nature of executive, peer and direct report request and classify as to urgency.
  • Update contact lists and call lists on a routine basis. Coordinate Human Resources deadlines and talent related responsibilities for department and leadership team.
  • Schedule and coordinate conference calls and meetings including internal personnel, consultants, credit unions/vendors etc.
  • Provide support and direction to the SVP and their executive direct reports on administrative tasks.
  • Initiates solutions to resolve their operational and administrative needs and sees to completion.
  • Partners collaboratively with administrative support team, and other stakeholders, to ensure seamless coordination of projects, schedules and deliverables for the SVP and across leadership teams.
  • Act as coordinator and host for visitors and member credit unions when appropriate.
  • Coordinate the onboarding and set-up for new staff and visitors, as needed.
  • Coordinate the purchase of office supplies and ordering meals for meetings/events.
  • Ability to travel to successfully perform position responsibilities, as needed.
  • Perform other miscellaneous duties as assigned.

EXPERIENCE :

  • Minimum five (5) years administrative support experience required.
  • Significant computer experience and thorough knowledge of the full suite of Microsoft Office software required.
  • Proficient in business writing techniques.

EDUCATION:

  • High school graduate or equivalent experience required. Associates degree preferred.

  • Ability to accumulate knowledge, so repeat tasks can be anticipated and resolved by learning from prior experience.
  • Possess the ability to be flexible and adaptable as the business needs dictate.
  • Ability to problem solve and complete tasks to remove workload from the SVP.
  • Ability to work under general direction and be able to complete functions with minimal guidance/directions while producing accurate and quality results.
  • Ability to travel to successfully perform position responsibilities, as needed.
