Our law firm has a unique opportunity for a motivated Administrative Assistant/Receptionist in our Tampa Westshore area office. Our firm serves as general counsel for its clients, providing law firm strategic and day to day legal support for businesses in Florida and nationwide. This is a full-time, non-exempt position with exceptional benefits. All work is performed in a typical law firm environment with a congenial, team-spirited atmosphere. Professional attitude and attire is required at all times.

Essential duties and responsibilities:

·      Provide administrative assistant and receptionist support primarily to firm’s lawyers, finance manager, clients and support team

·      Assist with planning, set up and break down of various office events. This requires the ability to peruse the event space without the assistance of others

·      Responsible for various Firm related projects. This requires the ability to think creatively

·      Ability to effectively communicate in person, via telephone and in writing – often in stressful situations

·      Create and maintain personnel files and follows destruction of applications and evaluations in accordance with established firm record destruction policy

·      Prepare and update new hire packets and employee termination packets

·      Post information on sponsored Firm social media

·      Conduct Internet research as assigned

·      Assist with other projects and duties as assigned by the managing partner

Minimum Qualifications:

·      Four-year college degree in General Business or a related field is preferred; some college required. WILL CONSIDER USF or UNIVERSITY OF TAMPA STUDENTS

·      A minimum of one (1) to three (3) years experience in a professional business service environment with administrative support duties as set forth above. Law firm or other professional service firm experience is desirable; a combination of relevant education and experience will be considered.

·      Ability to gather data, compile information, and prepare reports as well as verify data input and correct errors.

·      Ability to prepare work with attention to detail; follow up and follow through skills are mandatory

·      Ability to prioritize, multi-task and work in a fast paced environment, work under pressure and interact with all levels of staff and management effectively.

·      Ability to use independent judgment and to manage and impart confidential information.

·      Must have strong organizational, decision-making, analytical and problem solving skills.

·      Must be able to work independently with little supervision.

·      Must have strong customer service skills.

·      Must exhibit strong interpersonal skills and patience and be able to maintain effective relationships with co-workers and employees.

·      Must be able to work as a team lead to effectively and successfully complete approved projects.

·      Must be reliable and a self-starter.
