JOB SUMMARY

The Administrative Clerk’s functions include performing ownership transfers, updating owner contact information, processing owner portal requests, answering owner telephone calls and helping the customer with their account information. 

EXPERIENCE & EDUCATIONAL QUALIFICATIONS

  1. Possess at minimum a High School Diploma and three (3) years of administrative or customer service experience. 
  2. Successfully pass pre-employment screenings and background/reference checks.
  3. Ability to work independently with minimal supervision. 
  4. Ability to coordinate/manage multiple projects at the same time.
  5. Ability to interact and communicate effectively with colleagues, vendors, and customers/clients of all professional levels. 
  6. Maintaining high standards of professional behavior for self. 
  7. Demonstrate organization, attention to detail, problem solving, creative, and independent thinking. 
  8. Demonstrate a commitment to the organization’s philosophy of high quality, professionalism, and organizational culture. 

KNOWLEDGE & CRITICAL SKILLS

Must have a working knowledge of applicable company policies and procedures and must be familiar with, but not limited to:

  1. Comprehensive knowledge and application of Microsoft Office programs; primarily Outlook, Excel, Word, and Access.
  2. Knowledge of Windows based software programs.
  3. Knowledge of Adobe Acrobat, and electronic scanning programs.

ESSENTIAL DUTIES & RESPONSIBILITIES

  1. Performing various data entry functions including:
    1. Ownership transfers using HOA software program, Vantaca.
    2. Updating owner contact information in Vantaca.
    3. Processing owner portal requests in Vantaca. 
    4. Stepping general HOA questions to appropriate team member.
    5. Attaching transfer documents electronically to an owner’s file.
  2. Digitize/scan documents and electronically save or send as needed. 
  3. Answer owner telephone calls and assist customer with account information, balances due, etc., and logging call notes into Vantaca.
  4. Performs and assists with miscellaneous job-related duties as assigned.

SUPERVISORY RESPONSIBILITIES

None.

WORK ENVIRONMENT

Regular office environment. 

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
